I have had the same thing happen to me and I second what Marc said.  I  
also put in a copy of our Scope of Collection and our Wish List.  Let  
the donor know what your institution is looking for.  Many people  
still have the impression (and in some cases rightfully so) that all  
Museums take anything offered.
