VOLUNTEER SERVICES ASSISTANT
regular full time position

The Asian Art Museum seeks a highly organized, reliable, resourceful
individual, with excellent administrative and interpersonal skills, to
support a dynamic program during an exciting period of growth in the
museum's history!

The Volunteer Services Assistant will assist the Manager of Volunteer
Services in the administration of the museum's Volunteer Program by
performing a variety of office and administrative duties related to the
recruitment, orientation, training, retention, and scheduling of
volunteers.

With the opening of the New Asian, the Volunteer Corps will consist of
approximately 450 volunteers who contribute their skills and talents in a
variety of positions throughout all museum departments.  The majority of
time given by volunteers will be in the Museum Store and the Visitor
Information Center.

Examples of Duties

1.   Assists in the recruitment process for new volunteers; prepares
materials; makes telephone and e-mail contacts; schedules orientations and
oversees training provided by other departments.

2.   Updates and maintains volunteer database, volunteer roster and log of
volunteer hours.

3.   Schedules Museum Store and Visitor Information Center shifts.

4.   Performs a variety of office support functions including: processing
daily mail; establishing and maintaining files; answering the telephone and
e-mail messages, providing accurate information about the museum and
associated activities; composing and/or typing departmental correspondence;
assisting with specialized mailings.

5.   Establishes and maintains ongoing communication with volunteers to
answer questions, to clarify assignments, and to insure a positive
relationship with the museum and the Volunteer Services office.

6.   Prepares either monthly shift calendar or monthly shift confirmation;
coordinates the mailing and/or e-mailing of this information to all active
volunteers.

7.   Maintains an active role in representing the Volunteer Services office
to other museum departments insuring that volunteer staffing is provided as
needed.

Minimum Qualifications

·    Bachelor's Degree from an accredited college or university.

·    At least one year of related work experience.

·    Good knowledge of general office practices, procedures, and equipment.

·    Solid computer skills including proficiency in Microsoft Office;
knowledge of Access preferred.

·    Excellent written and oral communication skills; strong planning,
organizational and follow-through skills.

·    Ability to: analyze situations, clarify priorities, recommend and
implement appropriate solutions; satisfy deadlines with a high level of
initiative, accuracy and attention to detail; display good judgment and
exercise tact & diplomacy at all times.

·    Self-starter with proven ability to manage and independently
prioritize multiple tasks while ensuring timely high quality outcomes.

·    Ability to: work well with volunteers of all ages and of diverse
backgrounds and skills; effectively and factually communicate information
to volunteers and visitors; represent the museum, its activities and
programs in a positive, proactive manner.

·    Must be available to work on one weekend day.

Compensation

$14.39-17.28/hr. with excellent benefits package*
