Administrative Assistant/Office Manager Job Description

We inspire people to engage in and celebrate the story of Shaker Heights... past, present, and future.


General Description of Duties:
Performs general administration and reception duties.  Reports directly to the Executive Director of The Shaker Historical Society.  Part-time position for a minimum of 30 hours per week, Monday through Friday from 11:00 am to 5:00 pm, and occasional evenings and weekends.

Distinguishing Features of the Position:
Performs general administrative tasks for the Society.  Must be attentive to details.  Must be responsible, personable, flexible, work with the public, and a self-starter, able to work in a small organization with a "can do" attitude. Performance reviews will be held once a year.

Responsibilities:

  *   Answer telephone in a friendly, courteous and businesslike manner
  *   Working with volunteers, greet and assist Museum visitors. Occasionally fill in the shop or other visitor related duties.
  *   Maintain Membership database, mailings and meetings.
  *   Handle correspondence and communications, including mass mailings and BoD communications.
  *   Assist Benefits Committees with communications and marketing.
  *   Assist Committee Chairpersons, as necessary.

  *   Perform general clerical and financial record keeping.
  *   Maintain office supplies and monitor office equipment.
  *   Maintain the supply of visitor handouts and update posters.
  *   Maintain volunteer schedules; work with volunteers.
  *   Send out press releases and notices of programs and events to various media outlets.
  *   Assist with mailings, program and other word processing related to fundraising.
  *   Maintain website, Facebook and Twitter posts.
  *   Other duties as assigned.

Required Knowledge, Skills, and Abilities:

  *   Must know general business practices, e.g., proper format for business letters, some accounting and bookkeeping.
  *   Must be proficient Word, Excel and Social Media.
  *   Must be organized and accurate.
  *   Bachelors degree or equivalent preferred. Ideal candidate will have non-profit experience.

About: The Shaker Historical Society inspires people to engage in and celebrate the story of Shaker Heights, past, present and future. The Society is a nonprofit organization founded in 1947 to preserve and promote the history of the North Union Shaker Community and Shaker Heights, one of the nation's first model "garden city" suburbs and on the National Register of Historic Places.  It operates a museum, library and archive, conducts school tours and organizes a wide variety of programs.  Located on the site of the former North Union Shaker Colony, it is one of fifteen stops on the National Shaker Heritage Trail and is an Ohio Historical Society site.
