POSITION:  Assistant Gift Registrar

SALARY RANGE: $38,000-$50,100

OPEN PERIOD: 12/10/2007 - 01/18/2008

POSITION INFORMATION: Full Time, Indefinite Trust Appointment 

DUTY LOCATION: Washington, DC

 

KEY REQUIREMENTS:

CONDITION OF EMPLOYMENT: Appointment may be subject to the applicant's
successful completion of a pre-appointment background check and
subsequent background investigation. If you make a false statement in

MAJOR DUTIES: The Smithsonian Assistant Gift Registrar [AGR] reports to
the Gift Registrar and is responsible for supporting the operational and
reporting activities related to processing over 12,000 Institution gifts
and pledges annually using the Millennium [DMIS] database. The incumbent
reviews gift designations, records gifts and pledges, and assists with
the reconciliation of gift information between the Institution's
Peoplesoft/ERP gift account fund records and OD gift fund records. The
position requires a degree of interface with unit personnel including
development and finance staff, the Office of Sponsored Programs, Office
of the Treasurer and Office of the Comptroller staff regarding gift
designations in compliance with CASE and NACUBO standards as well as IRS
regulations. The AGR is responsible for carefully scrutinizing gift
funding and purpose designations in the course of providing primary gift
data entry and facilitating corrections and adjustments where needed.
The AGR supports the production of monthly and annual gift reports and
ensures report data is accurate. The AGR facilitates training of part
time and temporary records staff, monitors quality of data entry
activities, and resolves discrepancies in gift records as required with
management and staff; coordinates gift record information with unit and
OD staff as appropriate.

 

Selective Factors:

1.       Experience coding, processing and receipting charitable gifts
in a university or other large non-profit organization. 

2.       Experience interpreting and applying Development policies and
procedures.

3.       Knowledge of and experience in financial operations systems and
procedures.

4.       Some familiarity with IRS, CASE and NACUBO standards as these
relate to gift recording.

5.       Experience organizing and prioritizing multiple time-sensitive
tasks.

 

Quality Ranking Factors:

1.       Demonstrated organizational and interpersonal skills and the
ability to work independently with minimal supervision. 

2.       Ability to prioritize and maintain efficient work flow in a
complex central development operation.

3.       Skill in establishing and maintaining effective collegial work
relationships.

4.       Skill in the use of computer systems and applications.
