COLLECTIONS MANAGER

The Intrepid Sea, Air & Space Museum is looking for a Collections Manager.  The position will be responsible for the preservation, documentation, and management of the Intrepid Museum's permanent collection and archive.  Inventories, researches, documents, and houses two- and three-dimensional objects and media collection.  Work includes coordinating donations and loans, organizing artifact shipments, maintaining hard-copy and electronic records, completing collections-related paperwork, and properly storing and organizing the collections.  Works with the SVP, Exhibits, Education & Programs, the Curator of History and Collections and other curators to help determine sources of continued funding for collection cataloguing, storage, and conservation.  Proposes projects to improve management of and access to Museum's collections.

Responsibilities include but are not limited to:

  *   Oversees the physical and intellectual management of the Museum's permanent collection.  Organizes objects in appropriate storage systems.  Appropriately houses collections materials.
  *   Supervises collections assistants, as well interns and/or volunteers
  *   Maintains, updates, and supervises use of the collections database using The Museum System (TMS).  Adds and edits data in TMS, and configures the system as needed.
  *   Manages all documentation pertaining to the Museum's collections.  Generates and processes all collections-related paperwork.  Develops and maintains detailed files on former crew members, donors, individual objects and groups of objects.
  *   Researches and catalogues objects in the collection.
  *   Organizes and conducts monthly collections committee meetings.
  *   Coordinates and oversees on-going inventory of the collection.
  *   Oversees the movement of objects, both in the collection and on loan.  Prepares and keeps records of receiving and shipping orders and insurance of loans, all pertaining to the permanent collection.
  *   Monitors collections objects for conservation attention on need-be or loan request basis.
  *   Supervises special project assistants, interns, and/or volunteers in collections-related tasks such as inventorying, cataloging, researching, housing, and photo-documenting the collection.
  *   Assists the Curator of History and Collections and other curators in preparing grant applications to secure additional sources of funding for continued cataloging of the permanent collection.
  *   Works with the curatorial staff to solicit donations of collections from former Intrepid and Growler crew members, and artifacts related to space shuttle Enterprise.
  *   Serves as liaison between Exhibits staff and other museum departments for collection-related storage, data, and access issues.
  *   Facilitates research requests generated internally and externally.
  *   Assists curatorial staff with occasional special projects.
  *   Performs other duties as required by management.
The ideal candidate will possess a Master's degree (MA/MS) in Museum Studies and two or more years collection and archival management experience; or equivalent combination of education and experience. She/he will have experience with cataloging artifacts of various formats including photographs, a/v media, two and three dimensional artifacts, oral histories and archives. Familiarity with collection management software is essential; knowledge of The Museum System (TMS) and Crystal Reports is strongly preferred. The ideal candidate will have knowledge of naval or general 20th century history. She/he should possess strong computer knowledge, including proficiency with word processing, database, and spreadsheet software. Strong organizational skills are required. Candidates should have an affinity for working in a collaborative environment. The person must have the ability to work weekends, holidays, and evenings as necessary.
