My instinctual reaction is to not give the refused for collection object an accession number. We have faced a couple similar scenarios, but they were all handled differently by my predecessors.
I would accession the clock you want, and leave the other clock with its temporary/incoming number and make sure that its “status” in the collection is as an “apparatus” and not “collection” It’ll throw off your collection counts otherwise.
It’s also easily tracked in different databases. My workflow is based off of TMS. Happy to share off list-serv if you’re interested.

Hi All,
I am trying to determine best practice for handling non-accessioned gifts. A donor recently sent us a pair of similar clocks, one of which fits within our collecting scope due to its provenance; the other clock does not, but may be helpful to us for educational purposes, research, repair, etc. so we did accept both. My question is, when processing the acquisition, if/how are other institutions recording this? Are you assigning an accession number with an abbreviation to denote its non-accessioned status? Are you marking the object with that number? Or are you doing nothing? My fear is that by not recording it in some way in our catalog, it could very easily find its way into the catalog at a later date as an FIC object.
With other CMS I have worked with it, has been a bit easier to delineate between permanent collection objects from those in study collections, for instance, but with PastPerfect, I'm finding it a little more challenging to make that easily discernible.
Any advice would be greatly appreciated.
