The first step is finding out who you have to get the license rights from and that's not always easy. It's often a project for a very good intern because sometimes, especially if the film is obscure (like A Rat'sTail, which we programmed during Petropolis) it can take days or even weeks to track down the person you have to pay to show it even once. The price is not usually high-between $150-$350 (Disney is usually the most expensive, even for a non-profit venue like N-YHS) for a single, non-profit screening, which means you can't charge separate admission above museum admission and you can legally only show it once. Since Ben and Me is a Disney film you should call Swank and see what it will cost to rent a copy to screen. Already owning a copy of whatever you want to show does not mean you don't have to pay the license fee, only that you can save a few dollars on shipping and handling and making sure you get the copy on time and then returned. You are paying for the right to show it in a public venue. You might get a better price depending on the format, VHS is sometimes cheaper than DVD, I think. Call Brian and ask.
