Planning and Operations Coordinator
Reports to Project Director, Planning and Operations
Responsibilities
Administration
. Provides general office coordination, including the drafting of
memorandum and correspondence, and facilitates departmental inquiries
and communications.
. Maintains department library, central files, databases, and overall
office organization.
. Drafts and maintains the international projects administrative
policies and procedures manual.
. Coordinates museum travel approval of staff for Guggenheim Museum
Bilbao and other international projects related activities.
. Maintains the International Projects Planning and Operations Calendar.
. Coordinates operational and administrative activities for exhibition
planning and implementation in conjunction with Exhibitions Program
Manager.
. Other general administrative duties as directed by the Project
Director, Planning and Operations.
Budget & Planning
. Under supervision of Project Director, liaisons with Manager of Budget
and Planning for International Programs in the coordination of data and
information and budget tracking.
Finance
. Liaisons with the Finance department in the coordination and
distribution of accounting and financial reporting on international
projects.
. Coordinates contracts and exhibition expense requests between New
York, Bilbao and other international project venues.
. Assists in the general communications and coordination between New
York, Bilbao and international project staffs.
Other
. Assists in the draft preparation of business plans and strategic
planning models for other potential international projects and programs.
. Distributes and maintains database of Internet news wires research
regarding potential sponsors of international programs/projects,
economy, and political activities with respect to Guggenheim
international projects.
. Assists with donor prospects research and in the development of media
contacts, in coordination with the Development department for
international projects when appropriate.
. Assists in preparing publicity and promotional materials for
exhibitions and special events; handles logistics of promotional
mailings of materials, in conjunction with the Public Affairs department
for international projects when appropriate.
Qualifications
. Strong written and oral communication skills, as well as excellent
proofreading skills.
. Strong computer skills.
. Prior museum experience or internship highly desirable.
. Fluency in other languages, a plus but not necessary.
. Superior organizational skills and ability to handle a variety of
tasks concurrently and meet frequent deadlines.
. Ability to initiate advance planning and prioritize tasks.
