JOB DESCRIPTION
JOB TITLE: Publications Manager
DIVISION: Print and Electronic Media
REPORTS TO: Director of Print and Electronic Media
JOB PURPOSE: Provide comprehensive publications consultation, planning,
and project
management services for a wide variety of products for internal clients.
Negotiate and maintain
relationships with external publishers and distributors.
MAJOR DUTIES AND RESPONSIBILITIES
30% *1. Serve as project manager on print publication projects including
but not limited to books,
labels, signage, magazines, newsletters, brochures, and ephemera.
* Supervise tht Print Publications staff in a manner which results in
the efficient
adminsitration of all projects and the fulfilllment of all departmental
goals and objectives.
* Assess budget and scheduling feasibility with Traffic/Scheduler.
* Iniate cost saving strategies and ensure that goals are met within or
below budget.
* Research and reach agreement with clients on all appropriate distribution
channels.
* Monitor and manage project work plans, timeline and budgets.
* Review content organization and format of publications and makes related
decisions
when required.
* Coordinate editing, design, production, distribution and marketing
support of publication
projects with appropriate staff and departments.
* Guide projects through review channels within the Museum as well as with
commercial
publishers, funders, and external partners to ensure terms of agreements
and quality
standards are met.
* Provide information necessary for fund-raising activities.
20% *2. Provide timely customer service that is responsive to the long-term
plans and immediate
needs of the internal clients.
* Analyze and recommend the best format(s) (print and/or electronic) for
each project or
product.
* Reach agreement with clients in the concept, scope, intended
audiences, and objectives
of all publication projects.
* Develop and regularly update annual publications plans with
Traffic/Scheduler and
publications staff.
10% *3. Perform as a flexible and effective team member within the Print
and Electronic Media
Division to ensure high quality, cost-effective coordinated action that
meets Museum goals
and standards.
* Maintain open communication on all projects with PEM staff.
* Identify and recommend procedures to streamline complex processes.
* Work with PEM Director and publications team to develop , refine and
implement
standards and policies.
15% 4. Develop and maintain relationships with publishers and distributors
appropriate for Museum
publications.
* Work with internal clients to prepare and submit queries, proposals
and manuscripts.
* Negotiate contracts and agreements.
5% 5. Work with Publications staff to facilitate independent contractor
and supplier relationships and
contracts.
10% 6. Coordinate product development with Marketing and Museum Shop
* Assemble and provide leadership for project teams.
* Facilitate product development activities with
Marketing/ Communications, Museum
Shop, and other functional areas.
* Work with Marketing and Museum Shop to ensure availability of non-MIA
titles associated
with loaned exhibitions and to ensure that products related to MIA
traveling exhibitions
are announced and distributed in a timely manner.
5% 7. Ensure that all project-related media (text, images, etc.) are
digitally formatted and archived
according to museum standards.
5% 8. Perform other publications-related functions as required.
QUALIFICATIONS
Education:
Master's degree in journalism, communications, business management or
administration or
equivalent experience. English minor/emphasis desirable.
Skills/Experience Requirements:
Publications Business
* Five+ years academic/commercial publishing experience with a wide range
of products.
Extensive knowledge of publication market, publishers, and distributors.
Strong
organizational, communications, interpersonal relations, problem solving,
project planning
and management skills.
* Financial management skills, develop cost/revenue analyses, do project
feasibility analyses,
develop and monitor operating budgets, and read and interpret financial reports.
* Knowledge of capabilities and specialties of various vendors and
contractors and ability to
negotiate favorable terms.
Production
* Experience with the full scope of book , ephemera, software, and
internet publication.
Knowledge of the principles of graphic design, preproduction, production
processes, tools,
techniques and materials for both print and electronic media production.
* Experience working with writers, editors, graphic designers,
programmers, producers,
illustrators, and print vendors.
* Familiarity with standard digital formats for the transmission,
manipulation and archiving of
image, text, audio, and video information including JPEG, PhotoCD, HTML,
AIFF, and SGML.
Management
* Five+ years experience hiring and supervising internal and contract staff.
* Demonstrated experience in project management and administration. Must
be able to
manage diverse operations under pressure of deadlines and budgetary constraints.
Equipment Skills and Experience:
Demonstrated experience with the operation of Macintosh and Windows-based
computers,
word processing, spreadsheets, database, and browser software including
Word, Excel,
Filemaker and Netscape. Familiarity with Desktop Publishing, Text Markup,
Graphics and
HTML software preferable.
Responsible for the work of others:
Directly supervises: Editors, Designers, Traffic Manager, Production Specialists
