JOB OPENING: ADMINISTRATIVE ASSISTANT

The Theodore Roosevelt Inaugural Site Foundation (Buffalo, NY) is seeking a full-time administrative assistant to handle the day-to-day administrative/secretarial matters of the organization.

The ideal hire is a details-oriented team player who is proficient in Microsoft Office Suites, highly organized, an excellent communicator, and possesses a professional demeanor.

The person will be responsible for routine correspondence, filing and scheduling, data base management, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The incumbent will deal with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload and to recommend changes in office practices and procedures.

Responsibilities include but are not limited to:
•	Scheduling/organizing complex activities such as Board meetings and backup for facility rentals
•	Acting as a liaison with other departments and outside agencies
•	Handling confidential and non-routine information
•	Working independently and within a team on special, non-recurring and ongoing projects
•	Acting as project manager for special projects at the request of the Deputy Director
•	Working with Executive Director in development/fundraising activities
•	Working with Executive Director on communication initiatives, including presentations and marketing materials
•	Oversee volunteer records, orientation, directory, newsletter and other volunteer support
•	Managing record-keeping, including database and general reports
•	Assists with front desk and museum shop when required
•	Assists with various special events

Requirements:
•	Self-starter with the ability to work in a team setting with staff and volunteers
•	Minimum of an Associate’s Degree 
•	3+ years of administrative experience 
•	Not-for-profit experience a plus
•	$11-$14 hourly, with benefits
•	Flexible schedule which may require working nights and weekends at certain times of the year dependent on need
