I have worked at institutions where we lent our exhibition cases/vitrines out and they have come back damaged with no compensation and no funds to replace them ourselves. It is smart to ask for a fee to compensate for your time and effort for these requests and a contract that delineates liability for damages that may be incurred as well as gives guidance as to proper handling or packaging for transport.

Thank you everyone for your responses. I did not mean my question to come off as I was against the idea in all cases, but truthfully it's not something we've done in the past and I wanted to make sure I wasn't missing any glaring problems that those with more experience had had. The inquiring institution, while local, is one I have never worked with before and have no connections with. This was something that came from one of my bosses. Our exhibit cases are old and we're very limited in the number that we have, they are also shared across many departments and we have no budget to replace them, hence my hesitance.
If anyone has any forms or wording for lending out equipment those would be most helpful. We have loan forms, but nothing that would deal with something like this. The lending institution mentioned they would pay for transport, but I also want to get something in writing that they would also be responsible for any damage/replacement of the cases. As I said we have no budget, so if they get destroyed we can't afford to replace them ourselves.

I would rent the exhibitry casework to the other institution for a specified period of time.
Here is why I think that way......If the other institution wanted to borrow your van or truck for a few months,.....or, if the other institution wanted to borrow your exhibit shop panel saw for a few months.....or, if the other institution wanted to borrow your classrooms' tables, chairs and lab equipment for a few months.....my response would be sure....as a rental. Borrowing artifacts usually doesn't involve a rental situation....but, I would consider a request to borrow non-collections capital inventory within the context of a cash and/or other considerations (in-kind) rental transaction.

Just a quick question: what is everyone's thoughts about the loaning of exhibit cases. It's not something I've done in the past and we got a request here about potentially lending one of our cases for another local institution's exhibit. The only cases I have free are freestanding metal ones. the lending institution would pay for moving them, but they would have them from Sept.-May.
I'm hesitant to loan them out, but it would be nice to have some good rational to back it up.
