The Powers Museum of Carthage MO uses Past Perfect software for its
collections (artifact and archival) as well as its reference library
holdings.
As for the questions: 1)Whether you accession
materials? Yes we do but we accession all library purchases into a prefix
Ref Lib 200x (to represent year).
2) Have a separate deaccession policy for library materials? We are
updating deaccession policy at the moment -- one document but it discusses
different types of collections including reference holdings (non-archival)
which is made up of reference library books, vertical files, school trunks &
classroom materials. We have just culled library collection and vertical
files for first time in 15 years to reflect use (or rather lack of) and
changes in technologies/on-line access for certain subjects. Also behind
this was the need to free up space in a limited facility.
3) Have a separate numbering system for library materials? For reference
books and items used in school trunks we use variation of accession number
for object id# and call number is Dewey system or a unique numbering for
special holdings like yearbooks (YB) and city diretories (CD) coupled with
year of actual title. We use collection title designations like Reference
Library for research books and for books/magazines from artifact collection
we use Collection Library or a special founding collection name/Library due
to specific legal requirements.
