I will preface this by saying I am not the one who has done this at our Museum so I don't know all the specifics BUT...
My boss is the person who has coordinated it for 2 years here and it is a HUGE headache. Great PR payoff I personally think but a huge hassle.
We do not charge (it is a free outdoor event) but we still need to get permission from the movie company to play the movie.(don't even try to get anything owned by Disney) Then there are added permission issues of how many people do we think will attend, how is it set up, what happens if it is bad weather the day we plan to show it. I know contracts were a logistical nightmare.
We have also served popcorn at the events and have had to struggle with vendor licenses, etc. We ended up giving the popcorn away I don't know if that was to get around the vendor issue or what.
Again I was not directly involved with any of this but I did get to hear a lot of the frustrations. If you want a lot of specifics I recommend you contact Jim Allison at the Wyoming State Museum 307-777-5427.
