Job Announcement: Office Manager
Decatur House seeks a full-time Office Manager, responsible for a wide-
range of financial and administrative duties, including account
management; staff support; and customer service responsibilities
Duties
1. Acts as Accounts Manager, including maintaining financial accounts;
dispersing petty cash; making bank deposits; processing invoices and
expense reimbursements; generating checks; compiling weekly financial
reports; and maintaining organized financial records
2. Provides administrative support for the managerial staff, assisting
with various clerical duties or projects including Membership; Special
Events/Programs; arranging pick-ups/deliveries; making/scheduling meeting
and travel arrangements; and preparing mass mailings
3. Manages all aspects of office functions, including answering the
telephone, greeting guests, and providing other reception support; sorting
mail and replying to general phone, mail, or e-mail requests; regularly
updating voicemail; tracking/ordering all office supplies; ensuring that
equipment remains in working order
4. Acts as the Human Resource point person, including giving new
employees an overview of operational mechanics of the museum; handling all
new/departing personnel paperwork; maintaining staff calendar; processing
timesheets
5. Supports the Executive Director, including managing calendar and
screening phone calls; preparing for the twice-yearly Board meetings; and
handling other requests by Board members
Qualifications
Flexibility, with the capacity to multi-task, meet deadlines, and handle
change at a moment’s notice in a fast-paced environment; excellent
organizational and clerical skills, with demonstrated computer experience,
especially with e-mail, Word, Excel, Mail Merge, data base management, and
the Internet; outstanding customer service a must, including highly-
professional verbal and written communication with special attention to
detail and accuracy; excellent interpersonal skills essential, with the
aptitude to handle people and situations with diplomacy; and ability to
work as a team member as well as independently. Experience working with
high-level executives, VIPs, and Board members in an educational or museum
environment helpful.
