I number exhibit props in the same fashion as collection items except that each has the prefix "EX" before the number (example: EX2002.2.13. I keep a log and file of receipts and gift aknowledgements with the item numbers noted. If we had a functional database I would think about how I might use it to track props but since we don't, I haven't.
I had 2 goals in marking our props: 1) to make sure that the really good repros didn't get confused with collection items and 2) to prove that my department paid for them so I can claim the proceeds to put back into new exhibits if and when I resell the items.
