Our FT employees begin accumulating vacation time after 6 months, but
accumulate sick time immediately. Time is taken according to your official
start date, so everyone has a different "year" with regards to time off
accumulation.
We get 2 sick days per month and 2 personal days per year. The amount of
vacation time varies according to seniority: from 1-4 years of service
employees get 10 days; from 5-9 years of service employees get 15 days; from
10-15 years of service employees get 20 days; and after 15 years of service
you can negotiate more than 20 days as long as it's not unreasonable. We
also get 1 floating holiday per year we can use for any reason...religious,
social, etc.
Unused sick days carry over into the first 6 months of the next employment
year and if unused after then, they are lost. Vacation time must be used
within the employment year and unused time is lost immediately. At
separation, unused vacation time is compensated at the employee's hourly
rate.
You might also consider a policy regarding comp time and core hours for
FT-exempt employees. Officially we do not have comp time, so if we work
extra in one week we cannot reduce the next week's hours accordingly. We do
have a modified "core hours" policy, wherein the core hours of the day are
vaguely 11am-3pm, and we can come in late or leave early as long as we leave
a proportionate amount of time later (or have come in earlier) to make our
minimum 8 hours per day. Or we can cut the hours short one day (as long as
we are here during the core period and don't miss anything vital) and make
it up later in the week to be a total of 40 or more. We have people working
all kinds of crazy hours sometimes...our former development director worked
7am-3pm by personal preference; my former associate worked 4 10+hour days
and took one day off in the middle of the week to do work in her studio.
All this can be worked out individually.
Finally, sometimes we have "recovery days" for months in which we work
exceptionally hard, and these are granted by the Executive Director. For
example, for our annual fundraising art fair the entire staff works two
consecutive 15-hour days on a weekend; so we all have 2 "recovery days"
available to us that we must take within two or three weeks of the event.
Some departments have projects that they have to blast on to the tune of
60-70-hour weeks for a month or more, and will accordingly be granted
"recovery days" within a week of the project completion to avoid meltdowns.
These are nice to have.
