> Job Description. Under the supervision of the Manager of Special
> Exhibits, markets, administers and coordinates the exhibit rentals and
> sales program at the California Science Center (CSC) and manages its
> collections.
>
> Duties and Responsibilities:
>
> I. Exhibit Rentals and Sales (70%)
>
> Marketing - Develops and implements marketing initiatives to
> generate exhibit bookings, sales and exhibit license use rights.
> Researches new markets and audiences (international, national, regional,
> and local) for museum exhibits and exhibit related products. Develops
> survey questionnaires and other research instruments. Maintains an
> updated contact database.
>
> Presentation Materials - Works with other departments to organize
> booth displays for conferences, arranges for staffing and production of
> visual and printed materials for marketing purposes. Assembles, maintains
> and mails out exhibit/program manuals, press kits and videos.
>
> Tour Management -Drafts, oversees review and finalizes contracts.
> Manages the scheduling and shipping for the museum's traveling exhibits,
> including the sale and licensing use rights of related exhibit products,
> working with the museum Exhibits Department. Tasks include: working with
> the Exhibit Department, Host venue and shipping company to establish and
> coordinate the exhibit schedule; confirming schedule with host venues;
> calling host to obtain names and numbers of their personnel assigned to
> work with the exhibit; sending schedule reminders regarding schedule and
> shipping to affected parties.
>
> Customer Relations - Monitors and maintains good customer relations.
> Monitors host museum's experience and satisfaction with our service and
> response to maintenance issues. Tasks include administering monthly
> maintenance check-ups and collecting attendance records and press
> clippings from host venue.
>
> Budgets and Billing - Coordinates billing procedures for host
> venues. Maintains traveling exhibit budgets and accounts. Tasks include:
> reviewing documents needed to invoice host venue and calculate host bill.
>
> II. Other Duties (20%)
>
> Work-Study Students - Oversees the work of one (1) work-study
> student. Manages the workload, maintains an updated work schedule, and
> solicits tasks from the Manager of Special Exhibits. Reviews and initials
> work-study time sheets.
>
> Collections Management - Coordinates the packing and storage of
> collections off-site. Administers the return of any artifacts on loan.
> Handles incoming inquiries and requests related to collections. Locates
> appropriate recipients of artifacts to be transferred from the Science
> Center collection.
>
>
>
> Administrative Duties - Maintains an updated traveling exhibit
> contact mailing list and exhibit sales and license use rights database.
> Assists the Deputy Director of Exhibits and Manager of Special Exhibits
> on special projects as needed.
>
> III. Traveling Exhibits - Weingart Special Exhibit and Art & Science
> Galleries (5%)
>
> Schedule Administration - Updates and distributes the special
> exhibit schedule. Periodically checks information listed on the Science
> Center's website for accuracy and contacts the appropriate staff to
> administer changes and updates.
>
> Correspondence and Minutes - Maintains program correspondence.
> Coordinates special exhibit interdepartmental meetings, takes minutes,
> types and distributes them.
>
> Administration - Assists with administrative duties such as filing,
> correspondence, and preparation of reports. Coordinates work-study staff
> in completing work related to the Art & Science Program.
>
>
> Job Qualifications:
> * Earned Bachelor's degree in relevant field
> * Minimum of 2 years paid administrative experience in relevant field
> * Advanced computer and Internet skills with an ability to build
> databases, design graphic pieces, and create templates in Word and Excel
> * At least 1 year experience scheduling, billing, customer relations,
> and/or shipping.
> * Experience in museum administration at an interactive science museum
> preferred.
> * Knowledge of standard museum incoming and outgoing exhibit practices
> and policy, preferably at a science center; issues related to the
> installation, shipping, and customer relations of exhibitions; word
> processing, e-mail, scheduling and spreadsheet computer programs.
> * Ability to establish and maintain cooperative relations with those
> contacted in the course of work; organize work and prioritize tasks; work
> on multiple tasks; analyze situations accurately and take effective
> action; speak and write effectively, particularly over the phone; organize
> work efficiently; aptitude for customer and guest relations.
>
> Term: Starting June 24, 2002, full-time with benefits. Salary is
> commensurate with experience.
