Planning Coordinator Consultant
Scope of Responsibilities
Introduction
The Museum Planning Coordinator will provide the primary contact between the architect, Nevada State Museum and Historical Society staff (NSMHS), State Public Works Board, Steering Committee appointed by the Department of Cultural Affairs, and the Las Vegas Springs Preserve to achieve the goals of the NSMHS mission during creation of the new museum facility. The coordinator will receive overall direction from the Steering Committee appointed to oversee the project and day-to-day guidance from the Museum Director. This contract position will work through the Department’s Manpower temporary employment services contract.
Scope of Responsibilities
· Coordinates and schedules regular meetings of steering committee as necessary.
· Works with staff, Division and Department management, and Steering Committee to develop draft project plan, including timeframes for overall project implementation.
· Facilitates planning and flow of work between the various entities to meet timelines for work completion.
· Works with all parties to develop plan for possible coordination of areas of shared responsibility, such as ticketing systems, maintenance, security, etc.
· Facilitates immediate responses to Requests for Information (RFI).
· Coordinates meetings with NSMHS staff (and architect when necessary) to identify and prioritize needs that will help guide facility design.
· Gathers information from NSMHS staff, other museum professionals, etc., to inform the architect on best practices in museum facility design.
· Develops materials for and facilitates public forum meetings. Information gathered would be used in artifact interpretation and exhibit design, program planning, and museum operating issues.
· Ensures that the needs of specialized museum requirements (such as collections care and storage) are met by the architectural team and exhibit design firm.
· Coordinates plan review by staff to ensure adequate telecommunication lines, electrical outlets, HVAC zones, ease of maintenance, etc., to meet programmatic needs.
· Coordinates planning of exhibits with architectural team, NSMHS, and exhibition design firm. This includes content and design.
· Works with NSMHS exhibit staff to oversee fabricators and ensure quality exhibit fabrication.
· Works with NSMHS staff to create a flow of work and timeline in the move to the new building.
· Plans and coordinates transfer and installation of existing equipment and installation of new (non-contract) equipment.
· Develops draft operating cost estimates and staffing needs for new facility.
· Maintains planning and project records, including documentation of overall project.

1. Describe your training and work experience as it relates to the proposed consulting position responsible for assisting the Department of Cultural Affairs plan for, construct, and move into a new museum being built at the Las Vegas Springs Preserve project.
2. Describe specific experiences you have had with planning and/or coordinating museum construction projects, moving collections and staff to a new museum building, and working with large exhibit design firms.
3. What roles have you had working with local, county, and/or state government museums or museum systems? What projects have you supervised within any of these government structures?
4. How would you envision serving as a successful liaison between the Nevada State Museum and Historical Society management and staff, statewide members of the steering committee, and Division and Department of Cultural Affairs administration staff located in northern Nevada?
5. What key skills and knowledge will be important in facilitating this museum construction project?
6. Provide an example of a challenging situation you have managed while serving as a museum consultant and how you dealt with that. Include information about the eventual outcome.
7. What major challenges do you foresee with this project? From the outset, how would you organize your role as the planning coordinator to overcome them?
8. Tell us how you would solve the following problems:
· One of the members of the steering committee is displeased with the group’s last minute decision to eliminate a 5,000 square foot temporary exhibition gallery space, key to the overall interpretive plan and a major cost-saving measure. You agree with the concern. How would you mediate the situation with the steering committee?
· The exhibit design firm has a strong professional reputation, but has not met its critical scheduled deadlines. How would you approach the situation?
· The museum director and staff do not agree with major interpretive concepts presented by the exhibit design firm. What do you do?
