                    The John and Mable Ringling Museum of Art
                             Summer Internship 2002

We are pleased to announce the Summer Internships for 2002 at The John and Mable Ringling Museum of Art.  The Museum, located in Sarasota, Florida, is providing a high quality, practical work experience for graduate students interested in a career in the museum field.

This summer the internship will start on May 31, 2002 and end on August 6, 2002.  During these 10 weeks housing, utilities and local phone will be provided and a stipend of $3500 will be paid in bi-weekly segments. Each intern will be assigned to an area of museum operations.  Approximately half of the experience will focus on a pre-determined project that will add not only value to the museum, but also will be an invaluable tool for a future career in the museum field.  The remaining half will be spent assisting in the normal operations of that area, including daily tasks.

Selected candidates will be notified by mail in May, 2002.  The application itself will become part of the internship experience. Accepted applicants will have their submittals edited and reviewed, so this also will become a useful exercise for future employment applications.  The 1-page biography will be entered into the internship introduction booklet that will be handed out on May 31.

Position # 1
CURATORIAL DEPARTMENT
Art Museum Curator
Dr. Mitchell Merling


The Curatorial Department of the Art Museum oversees a fine collection of artifacts including one of the most comprehensive collections of European Old Master painting in the country. Other collections include c. 2000 objects of Cypriot Antiquities, a small non-European collection, Decorative arts, Contemporary art, and works on paper. The curator is also responsible for providing assistance with the presentation and interpretation of incoming travelling exhibitions, helping with the preparation of outgoing loans, exhibitions, and education projects; and working with collectors.


· The Intern will work directly with the Curator on preparatory research for the exhibition catalog "Invented Places: The Architectural Fantasy in European Painting from Renaissance to Romanticism." This exhibition treats the rise of a unique genre, sometimes called Capriccio, in European art from Renaissance to Romanticism. Noted artists that will be included in the exhibition include Poussin, Canaletto, Guardi, Turner, and Cole. 

· Internship tasks include bibliographic research.

· Some administrative tasks, including filing and correspondence.
 

Position # 2
ACCOUNTING DEPARTMENT

The John & Mable Ringling Museum of Art became part of the FSU family in July 2000. The Accounting Department is responsible for providing support services to the Ringling Museum of Art and the FSU-Ringling Cultural Center in Sarasota, FL.   The experience in this department will provide hands on training in the non-profit accounting arena with a focus on state funds and private funds, both unrestricted and restricted.

· General Ledger
Compile adjusting journal entries for the Foundation as directed, prepare journal entries for the Auxiliary funds daily disbursements, review daily cash receipts entries, as assigned, and post to the general ledger, review adjusting journal entries, as assigned, and post to the general ledger

· Reconciliations
Assist accountants with monthly reconciliation of State ledgers, prepare bank reconciliations for Foundation accounts, as assigned, prepare accounts receivable and accounts payables monthly reconciliations, prepare other Foundation general ledger accounts monthly reconciliations, such as prepaid expenses, deferred revenue, and due to/from other funds/agencies

· Year End Closing
Prepare lead schedules for the auditors, assist accountants with closing journal entries
Prepare other audit schedules, as assigned

· Cash Receipts
Observe Admissions gate and Sales shops cash handling for compliance with cash handling procedures and make recommendations as appropriate, assist in the cashier's office and observe the deposit and change bank process, assist the Fiscal Assistant with daily reconciliations of deposits to source documents and the cash receipts entries, observe the Sales inventory process-ordering, receiving, stocking, daily sales, and make any recommendations for improvements, as appropriate

· Purchasing/Disbursements
Assist with identifying remaining encumbrances needed to complete the fiscal year and adjusting encumbrances as appropriate, assist with preparing blanket purchase orders for fiscal year 2003, as assigned, observe the requisition and purchase process, assist Fiscal Assistant with matching PO/receiving report/invoices and reviewing, invoices for accuracy and proper approvals and assist Fiscal Assistant with Foundation checks, as assigned

ART LIBRARY
Director of the Library

The Library of the John and Mable Ringling Museum of Art, at almost 60,000 volumes, is one of the largest museum library collections in the southeastern United States.  It serves Museum staff, scholars, researchers, students, and the public in all areas of art research.  The Library was founded in 1947 and its nucleus is the art library of the Museum's founder, John Ringling.  Other special collections include 17th century emblem books and artist biographies; the libraries of Chick Austin (the Museum's first director), Karl Bickel, and Mrs. Potter Palmer.  

The Library is seeking an intern currently enrolled in an MLS program and who has an interest in art/special librarianship, computer skills, and knowledge of art history.

· The intern will learn all aspects of museum librarianship.  

· Helping visitors with general reference questions.

· Assisting in the automated cataloging of the collection.

· Researching the rare book collection.


Position # 4
CONSERVATION DEPARTMENT

The Conservation Laboratory of the John and Mable Ringling Museum of Art is responsible for the conservation and preservation of the Museum collections. Our goals include those globally sought by all Conservators: adherence to the credo of reversibility, high quality of intervention, frequent advances with methods and procedures, openness to newly developed technologies to consistently improve levels of expertise and aesthetic responsibility.

· A hands-on project for one week at a time would involve the Chiurazzi bronzes on the grounds. In June 1999 twenty-five bronze sculptures were cleaned and treated with "peening" technique of finely ground walnut shell powder and power washing finalized by a coat of pigmented wax. The Conservation staff would instruct and supervise the process with Interns during the internship period with Conservation.

· The Curator of the Circus Museum and the Chief Conservator may plan to proceed with an initial re-housing phase project for circus posters of particular fragility and historic significance. Each individual poster would be re-housed in acid-neutral box after digitally scanning the image and recording database information based upon the accession number and text applicable to the work. Size and condition overall would be noted with any specific handling or exhibition instructions for framing or installation would be noted as well.

· The Museum lab project is scheduled to proceed with the cleaning and x-radiography of the Antonio De Bellis, "Flaying of Marysas" painting.


Position # 5
COLLECTIONS MANAGEMENT DEPARTMENT
Collections Manager/Registrar

The Collections Management Department (CMD) bears the responsibility and functions that provide for the accessibility, accountability, utility, and preservation of the collections and associated data at The John and Mable Ringling Museum of Art.  It is the responsibility of the CMD to insure that collections are documented to standards, so that the Museum is able to account for location and provide information about them via manual, electronic, and photographic records as well as exhibition and loans. The CMD, in collaboration with Conservation and Curatorial departments, must see that all collections are being stored and exhibited appropriately to prevent deterioration and are being protected against damage, loss, and exposure to harmful environmental conditions.  Finally, the CMD must ensure that the Museum is legally accountable for collections records and operates in a responsible and ethical fashion.  

Intern must have strong organizational, communication, and computer skills. Must have sensitivity to detail and to working with art objects and archival materials.  Intern must be able to work independently in a fast-paced environment.  Familiarity with basic functions of Museums and with computer database software applications is desirable.

Internship opportunities in the Collections Management Department at the Ringling Museum relate to the following activities:

· Information Management/Record Keeping:
Manual Records (Object files) The CMD is working on an ongoing project to duplicate and archivally store manual records.  Examples of projects include: preparing object records for microfilming.  Developing of manual object files for collection objects other than paintings (decorative arts, prints, and circus collections, in particular, newly conserved objects from Cą d'Zan)
Electronic Records (SNAP! database)  The Museum currently manages about 14,000 records in the SNAP! Database.  The CMD is working to perfect the quality of these records as we prepare for conversion to a more sophisticated data management system.  Examples of projects include: updating collections database to reflect current research by Curatorial staff, entry of John Ringling project information into database, entry of complete cataloguing information on the Cypriot collections (requires specialized background in antiquities)
Photographic Records  The CMD houses roughly 80 linear feet of black/white and color photography of objects in the permanent collection.  Examples of projects include: creation of back-up off-site records, photo archives inventory and entry into collections database, re-housing  
 
· Image management:
Interns will be exposed to the operations at the Ringling Museum that distribute photographs of the collections to publications within the Museum and throughout the world.  Office of Rights and Reproductions processes nearly 100 external and 200 internal requests for photographs annually.  Publications Committee is charged with overseeing the quality and maintaining standards for all scholarly and educational publications of the Museum.  The Committee is also charged with reviewing all printed materials and reproductions that seek to interpret or make use of the collections and other resources of the Museum.

· Object care:
All members of the Collections Management Department have specialized training in working around and handling works of art.  CMD staff members are also actively involved in the emergency preparedness and risk mitigation planning processes.  Interns will be required to participate in basic art handling introduction and review sessions.

· Management of movement of collections objects:
Installation of Special and Permanent Collection Exhibitions
The Preparation branch of the Collections Management Department works actively in maintaining the exhibitions program at the Ringling Museum.  For a further description of these internship opportunities see outline on EXHIBITONS.  The CMD oversees roughly thirty incoming/outgoing loans annually, transferring approximately 100 objects to and from destinations in Florida, the USA, and throughout the world.  Interns will be acquainted with the requirements for processing, examining, packing, crating, transporting, and couriering objects for outgoing loans.

· Inventory control:
The CMD is actively involved in updating inventory control procedures to be 100% managed with the SNAP! Database system.  Examples of projects include:
Inventory verification of prints and photographs collections
Inventory verification of boxed Cypriot artifacts
Inventory of Circus backyard


Position # 6
OFFICE OF TECHNOLOGY INTERGRATION

OTI is responsible for providing technology support services and network administration to the Ringling Museum of Art and the FSU-Ringling Cultural Center in Sarasota, FL.  Campus support consists of the Art Museum, Museum of the Circus, Cą d'Zan and (3) other administrative buildings in addition to the Cultural Center.   Fiber optics and Ethernet cabling throughout campus; Novell and MS 2000 Servers, Windows 95/2000.  Assignment will require collaboration with FSU, FSU-Ringling Cultural Center and Ringling Museum management and staff.

Internship in the Office of Technology Integration assigned to special projects, which may include but not be limited to:

· Develop model for implementation of wireless technology in the Ringling Museum of Art

· Develop model for installation of informational kiosks to enhance visitor experience

· Develop plan to interface organization's business application systems (to include needs assessment and business process analysis)

· Develop strategic plan to upgrade Museum data and voice communications.  To include:
o Full documentation of current infrastructure (i.e. graphical layouts, digital photos)
o Needs assessment
o Proposed configuration

· Assist in developing plan for full network conversion to IP 


 
Position # 7
EDUCATION DEPARTMENT
Director of Education and Museum Educator

The education department intern's time will be spent between working with education department staff to complete on-going projects as needed including organizing education materials and supplies to make these resources more accessible, assisting as needed with the Friends and Family Days programs, K-12 School Programs summer institutes, resource development, and mailings.

Background in art education, art history, art, or humanities preferred. Strong interpersonal skills, organizational and project management skills.  Must be able to meet deadlines and work independently. Must be an effective communicator both orally and in writing.

· Public education programs assistance:
Intern will assist with all aspects of development and organization for Public Education Programs for the 2002-2003 season.  
Duties will include: research on program topics, collection, and presenters; preparation of contractual agreements; preparation and dissemination of related public relations material, 
development of audience database, compilation of evaluations from previous seasons programs.


· K-12 School Programs assistance:
Intern will assist with all aspects of organizing and implementing summer institute workshops for K-12 teachers. Intern will work with education staff to develop two interactive, themed tours (one with a focus on the Museum grounds, one focusing on sculpture in the Museum's collection) for K-12 students over the summer internship. 
Duties will include: research on age appropriate tours for K-12 audience; research on the collection; preparation of two interactive, themed tours; field test and evaluation of tours; final draft of tours



Position # 8
Marketing & Communications Department

The Marketing and Communications department at the Ringling Museum of Art is a full service operation. In terms of public relations, we offer media relations, internal communications, and community relations.  We produce news releases; media kits; fact sheets; newsletter distributed to Museum members, sponsor and media contacts; annual report; website oversight, etc. In terms of marketing we conduct annual surveys, track and analyze admissions statistics to determine trends, develop paid ads, coordinate group tours, manage Museum/exhibition signage, develop and coordinate efforts with Chambers, Convention and Visitors Bureaus, hotels, resorts, FLA/USA, Florida Attractions and Florida Association of Museums, etc. The office is comprised of staff focused on marketing, staff with a primary focus on PR and a marketing and communications chief that provides strategic direction and coordinates corporate sponsorships, with a strong emphasis on free media.

The most important need is someone who is an excellent writer, computer savvy.  Depending upon the skill level of the intern, we require someone to:

· Update our media lists, write press releases, pitch to the media, and prepare stories for the Newsletter.  

· Develop and administer a survey that will sample our visitors' impressions of the Ringling Museum.

·  Develop a comprehensive list of local and regional memberships that the Museum should consider joining.


Position # 9
EXHIBTIONS

The exhibition department is responsible for maintaining the integrity and the aesthetic appearance including lighting, labeling, and moving art works on and off display in the Art Museum, Museum of the Circus and the historic mansion Cą d'Zan.  In collaboration with curatorial staff, Exhibitions designs, plans and executes special and permanent exhibition spaces.  This includes: exhibition design, physical changes to the galleries, receiving incoming art works, fabrication, handling artworks, installation, lighting and labeling.

Department seeks a motivated intern willing to listen and learn. Someone who can take direction and will work independently to complete tasks and that will have pride in the finished product. This person needs to be a team player with good people skills, for we are a fast moving team that works with many other departments. Some skills would be a plus but not necessary: matting and framing, carpentry, arthandling experience, lighting experience, computer skills (PhotoShop and label design).  There are also some physical requirements including the ability to lift fifty or more pounds. 


· De-installation of Images from the World Between exhibition, the planning and design and arrival and installation of the Butler American Painting exhibition (opening June 21)

· Completion of Cą d'Zan 

· Participate in the planning of Tibbals Learning Center

· Planning for the Koger Collection of Chinese Ceramics (travel, arrival, display)

· Changing of circus exhibits, Art Gallery changes in the south wing

CURATORIAL DEPARTMENT

John and Mable Ringling's Historic Mansion reopens to the Public on Saturday, April 27, 2002 after a six-year restoration.  The meticulously detailed, restoration and conservation project involved Ringling Museum of Art curators, conservators, registrars and artisans from around the world. The restoration has returned the Venetian Gothic style mansion to its original condition and reflects the flamboyant lifestyle achieved by John and Mable Ringling.  Together the couple's passion for beautiful things produced one of the most important museums in America and a grand home designed for entertaining.  The restoration has preserved the renowned showplace, a proud legacy from John and Mable, and enhanced the understanding of this great collector.


· The Intern will research and develop files for the decorative objects and furniture in Cą d'Zan.

· Together with the Cą d'Zan registrar the intern will develop concepts for multiple "pocket" shows in Cą d'Zan for upcoming exhibitions

· Internship tasks include bibliographic research.

· Some administrative tasks, including filing and correspondence.
