Visual Resources Librarian
Frances Loeb Library, Harvard Design School
Grade: 58/Library
Reports to: Assistant Dean for Information Services/Librarian of the
Frances Loeb Library
SUMMARY:
The Harvard Design School offers graduate degrees in architecture,
landscape architecture, and urban planning/design. (See the School's
website: http://www.gsd.harvard.edu/ ) The Visual Resources Department is a
microcosm of the Frances Loeb Library. The duties involved in running the
department include technical processing, circulation, management and
administration. The Visual Resources Librarian participates with other
department heads and the Librarian in the development of policies and
programs for the Frances Loeb Library and the School. Key relationships
include work with the Library's Instructional Technology Group (and its
Courseware tool), the Special Collections department, Design School
faculty, and the University's VIA Steering Committee (Visual Information
Access catalog). We seek an experienced and visionary professional to
manage and develop the Library's visual collections and to work with the
Librarian in representing the School in University Library planning for
evolving access to visual materials at Harvard.
RESPONSIBILITIES:
· directs and oversees all aspects of the Visual Resources department;
· formulates and carries out department aims and objectives in a creative
and entrepreneurial fashion: includes communicating with users, faculty,
administrators and other library departments to integrate departmental
needs into overall library and Design School programs;
· has first line responsibility for decision-making in Visual Resources;
initiates and determines policies and procedures based on departmental aims
and objectives; includes managing acquisitions and circulation of
collection material; developing new activities; planning priorities for new
media formats; budgeting and space considerations; producing records,
reports and departmental statistics on a regular basis;
· develops the collections: includes developing course resources working
closely with the faculty; selecting new material in all visual media,
following standards set for the depth and quality of collections;
maintaining knowledge of subjects covered, current publications and
sources; receiving and reviewing recommendations from users; maintaining
reference materials, desiderata files, and checklists of items required for
teaching; negotiates license agreements for digital media;
· surveys, appraises and selects (consulting on major acquisitions)
collections for possible acquisition; negotiates terms of use and answers
donor's questions; may advise donors on suitable alternative repositories,
on the basis of professional knowledge and contacts; may develop
supporting/complementary collections or collections of secondary resources
when appropriate;
· assesses and monitors preservation needs, including developing plans and
recommendations for reformatting; assesses and monitors security needs;
updates policies and preservation strategies;
· promotes public relations: includes composing and editing web sites and
other publications; conducting orientation sessions and tours; facilitating
inter-school and Harvard University Library communications; serving on
task-related and other school and university library committees;
· supervises one full-time exempt staff (professional level) and project
staff; other staff include one full-time non-exempt position (cataloger)
and student assistants; has final decisions in hiring and terminating
process for nonexempt staff;
· facilitates access to the collection through classification, cataloging
and indexing, using the established local on-line database; maintains a
classification and cataloging manual for the collection; develops necessary
authority files; determines policy regarding physical upkeep of storage files;
· identifies and pursues potential grant opportunities and develops proposals;
· oversees copyright policy management, requests for permission to obtain
reproductions and permission to publish images from the collections;
· participates as a book selector for the library and as a member of the
Library reference team;
· works as part of the professional library team to develop new services
and programs;
· collaborates outside the Design School with other Harvard units on
database standards and development;
· collaborates with other librarians and administrators on library-wide or
University-wide projects through participation on committees such as VIA
Steering Committee, Data Standards Committee, sometimes serving as chair or
facilitator of such groups;
· prepares annual operating budget for the department; monitors income and
expenditures for budgeted funds.
REQUIREMENTS:
MLS from an ALA-accredited library school and background in architecture,
landscape architecture, urban design or a closely related field are
required. Minimum of 4-6 years relevant experience in an art/architecture
research library working in reference or visual collections also required.
Direct experience in visual or non-book materials helpful. Competency in an
electronic environment, willingness to take advantage of new technologies
and the desire to provide access to resources in new and creative ways
necessary. Reading knowledge of at least one European language preferred.
Demonstrated administrative and management skills required. Excellent
organizational skills and the ability to communicate effectively in writing
and speaking necessary; strong interpersonal skills also necessary.
