JOB DESCRIPTION: Collections Management Coordinator:
The Museum of Modern Art is currently seeking a full-time coordinator to
assist the Senior Manager for Collection and Exhibition Technologies on
implementing the new collections and exhibitions management system. This
position starts immediately and is for one year with the possibility of
renewal.
PREREQUISITES:
… Art History degree or related field
… Experience in registrarial duties or other museum related work that
involves issues of cataloguing and recording data about collections.
SKILL SET:
… Knowledge of Gallery Systems collections management system preferred.
… Computer skills in Excel and ACCESS
… Ability to learn computer applications quickly
… Good communication and teaching skills for training users
RESPONSIBILITIES:
Data cleanup:
Assist Sr. Manager for Collections and Exhibition Technologies in
coordinating the workload of the data entry staff. Maintain a log of tasks
pending and completed and keep track of what each data entry staff person is
working on. Work closely with curatorial representatives to help them
prioritize their data cleanup needs.
Maintaining standards:
Assist in maintaining standards that the project team is setting in place
for the new system. Check cataloguing entries, forms and reports to make
sure standards set by curatorial are being followed. Create in-house manuals
which document procedural and data entry rules that have been set by
curatorial.
User support:
Work with curatorial to anticipate reports and cataloguing entries that need
to be completed before we transition to the new system.
Develop skills as the expert user of the new collections management system
(Gallery Systems). Work one-on-one with curatorial users on running reports,
queries, forms, and general troubleshooting.
