You can find a lot of examples of photography waivers and right-to-access
releases online from other event venues, and most professional
photographers are accustomed to regulations from the venue. You have a
couple of options regarding photos and media. For your first few events,
you can hire your own professional photographer and ensure that your
clients sign a release which allows their image to be used for
media/marketing purposes. The event will need to have a disclaimer stating
that by attending, guests are advised of the photography and consent. This
is a smart notice to have posted in the museum at all times anyway as it
allows you or other staff to capture images. Another option is to allow a
few clients a discounted rental fee in exchange for using their photos. In
exchange for this discounted rental, clients agree to send photos to you
with the consent of the photographer. Most photographers will want to be
credited for images. If it's a small or medium sized museum, see if any
staff or friends of staff want to be a "model" for a day and take some
photos! Ask any friends who were recently married if their spouse is
willing to come model for you or a photographer, or stage a wine tasting
for museum members with the notice that it will be photographed/recorded.
