I also work for a small historic museum and we have about 60-70 members. I do quarterly reminders in conjunction with our quarterly newsletter. We recently started including the membership application as the last page of the newsletter. This way, we're not doing a separate mailing. I've had several members renew this way. 

I've also done email. We use MailChimp because as long as you have less than 2,000 subscribers, your account is free.

Another idea is to just call them. I find more success with this because even though our members have email, they sometimes don't check it, or don't go through the steps of downloading the attachment, printing and filling it out, and mailing it back. A phone call is also a bit more personal, and they appreciate the time you take to speak with them. It's time-consuming, but doable if your membership base is small.

Hello all,

 

I am the director of a small historic home and we are currently looking to change how we handle our membership reminders. As it stands, we send out a membership renewal monthly to the people who's membership was bought that month. However, we previously had sent out one bulk mailing at the beginning of the year for all of our members. We are looking to possibly switch back to our original way of one mailing a year. Has anyone made this switch before and do you have any advice on how to make the switch when dealing with people who would have just paid their membership a few months before?
