*Position Summary*:

Coordinate and implement events and drop-in programs for diverse audiences.
These events support and advance the Arboretum’s mission, generate revenue,
and attract a new and diverse audience base. The Special Events Coordinator
supports all work of the Special Events office including runs, culinary
events, concerts, expos, and festivals.



*Essential Functions: *

   -

   Under the supervision of the Special Events Manager, develop,
   coordinate, implement, and evaluate public events and programs for all ages
   and backgrounds that generate revenue and relate to the mission of the
   Arboretum.
   -

   Coordinate with other departments, including Visitor Services,
   Interpretation, Marketing, Collections and Facilities, and Volunteer
   Services in person, over the phone, and through written forms and diagrams
   to successfully implement events. Oversee event set up and tear down with
   other Arboretum departments and troubleshoot problems in collaboration with
   the Special Events Manager.
   -

   Assist with administrative tasks including revenue and expense tracking,
   communication with internal and external partners, and the creation of
   planning and evaluation documents.
   -

   Support large-scale events that require daily coordination over long
   periods of time such as Illumination; Wednesdays, Woods, & Wine; Thursday
   Family Nights; Fall Color Festival; Drive in movies; and summer festivals.
   -

   Evaluate special events based on visitor experience, revenue and
   expenses, logistical needs, and overall fit with the Arboretum’s mission
   and work with Special Events Manager to summarize findings in written
   reports.
   -

   Contribute to the creation of new, fresh, and creative events and
   participate in the development of the annual calendar of Arboretum events,
   programs, and themes.
   -

   Provide assistance to other Arboretum departments as needed with event
   coordination and logistics, contracting with vendors, and communicating
   with staff and volunteers.
   -

   Other duties as assigned.

*Qualifications: *
Bachelor’s degree in recreation, marketing, education, hospitality/tourism,
communication or related field required. 2+ years experience in museum
programming, public programming, or event planning preferred. Proficiency
with office technical skills and demonstration of prior administrative or
clerical support required. Must be able to manage multiple projects, all at
various stages of planning, execution, and evaluation. Intermediate
proficiency with Microsoft Office Suite and experience with Gmail and other
Google applications beneficial. Must possess a valid driver’s license,
which is subject to insurability and an annual Motor Vehicle Record (MVR)
report, for travel between Arboretum locations, including off-site event
locations.

and knowledge of horticulture or natural history.

   Physical Demands: Requires some physical activity: limited lifting and
   carrying (up to 25 lbs.), and walking over all types of terrain.

   Work Environment: Office environment and event locations (indoor and
   outdoor) around the Arboretum.

   Equipment: General office equipment, two-way radio, golf cart, Cushman
   cart.
   -

   Schedule: Must be flexible and available to work frequent evenings and
   weekends, according to events schedule.
