Hi Amy,  I sure you and the staff have, but read the fine print in the exhibition contract.  Is there any portion that talks of prorated costs such as shared carting, shipping, insurance etc.?  If the university has a policy that they cannot cover the insurance there are only two options.  The museum will need to raise the funds for the exhibtion period or turn down the exhibition due to the fact that you cannot cover the insurance costs.  Give a call to Eric Fischer at Willis Fine Art and Specie and tell him that I recommended you give him a call.  He is quick to respond and it will cost you nothing to hear from someone on the fine art insurance side of things.  Hope this helps. -Matt

Subject: [MUSEUM-L] fine art insurance at state university galleries

Hello all -I am having an insurance challenge at my state run university. The gallery is new and its direction new as well. We will be bringing in touring/traveling exhibitions and thus the folks in purchasing and risk management are coming to terms with new requirements from lenders. We have plans to borrow an touring exhibition and of course the expectation is the work is insured while on the premises via a fine arts policy. I am being told that since we are paying for the exhibition (I.e. The venue participation fee) that the university will not insure the work. They do not consider that a loan since we are paying for the exhibition. I come from the museum field and have not experienced a self insured state university system. As a state run facility we are not allowed to purchase insurance. 
Any insight would be helpful.
