We don't have any hard and fast rules.  If it is something that the donor can bring to us we would usually ask them to do that.

Part of our acquisition approval process requires the identification of any packing, shipping and conservation costs before a decision is made both for purchases and donations.  So if those costs were too high we would not accept the donation.  It is possible that we might go back to the donor at that point and say we'd like to accept but we can't afford to, could you make a cash donation towards the cost  (NB we have never actually done this).

In terms of budgeting the costs would come out of our acquisitions budget (therefore reducing the amount available for purchases).  We don't have a specific amount, looking back in the last three years we haven't had to pay anything for packing and transporting donations, the year before we paid GBP 400 for transporting one item.

Subject: Acquisiions / Accession Policies: Donor

Greetings All:

I would like to inquire about other museums and/or cultural institutions policies with reference to new acquisitions and what are the responsibilities of the pending donor?

Does the museum request the donor pay for packing/crating/shipping to that museum prior to acquisition? Or, does the museum have a budget in place for this type of acquisition activity? If so, how much funding is allocated towards that budget amount?

Thanks in advance for sharing your thoughts,

Kim
