Job Description Position Summary:

Perform responsible administrative and secretarial duties of a complex and confidential nature in support of the Nasher Museum activities to relieve curators of varied clerical and administrative responsibilities and to maintain efficiency in organizational operations.



Job Duties:

#Arrange travel and create itineraries for the curatorial and installation departments and guests.

#Complete accounting forms, travel expense reports, miscellaneous reimbursement reports for curatorial and installation departments and guests, and others when assigned.

#Schedule and coordinate appointments, meetings, and speaking engagements; maintain Senior Curator's calendar.

#Attend team meetings, create agendas, and record minutes.

#Screen and route email and documents; determine which to respond to or which to bring to supervisor's attention based on content of communication and broad knowledge of departmental programs and activities.

#File documents in accordance with curatorial filing structure. Manage and organize curatorial files on share drive.

#Set up vendors in Duke system in consultation with Nasher's business department.

#Communicate non-exhibition and exhibition expenses to the exhibition coordinator for budget tracking.

#Photocopy and scan documents for curatorial purposes.

#Purchase office supplies for department.

#Coordinate and send documents via USPS and FedEx.

#Oversee donation of books to Duke libraries.

#Coordinate with Duke University archives for the delivery of museum-related archive materials.



Minimum Qualifications Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.



Experience

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
