Job Posting: Art Registrar, Oklahoma State University Museum of Art
 
Job Summary:
 
The OSU Museum of Art includes the Gardiner Art Gallery and the downtown Postal Plaza, which is in the process of being developed into a state-of-the-art venue for exhibitions, collections storage, research, and teaching. The permanent collection includes over 1500 objects including significant representation of African art, works on paper, 20th-century American modernism, and a broad teaching collection. The purpose of this position is to provide all aspects of registrarial duties including activities involving the permanent collections, loans and exhibitions, access to collections for scholarly research and in support of University classes, and day-to-day operations. The Registrar supports the curatorial staff, ensuring safe and proper handling, transportation, exhibition, storage, and documentation of permanent collections and loans. The Registrar also trains and supervises student interns.
 
Specific Responsibilities:
 
Permanent Collections (40%)
 
-Provide active registration duties for the permanent collections including maintaining and developing the museum’s collections information system (FileMaker). Enters and proofs new object records, including acquisitions, loans, temporary deposits and special exhibitions.
 
-Supervise collection photography, stores photographic collections, maintain rights and reproductions services.
 
-Work with appraisers for the purposes of permanent collection insurance.
 
-Conduct Collections Management activities in the areas of accessioning, deaccessioning, inventory control, storage upgrades, and maintenance of object files. Coordinate movement of permanent collection into new Postal Plaza storage facility.
 
-Process loan requests.
 
-Record and monitor object movements within and outside of the Museum.
 
-Make recommendations and arrangements for conservation, generate condition reports, provide proper storage for museum objects.
 
-Work closely with Museum staff to devise/revise housing and storage methods and provide recommendations and directions for proper object handling and display.
 
-Act as point person to provide access to the permanent collection and the collection database (including public web portal) as requested by OSU faculty, researchers, or students. Make in-house arrangements for viewing objects from the collection for OSU classes.
 
Administration (40%)
 
-Create facility reports; control, monitor, and document conditions in storage and gallery areas, including climate and pest control, in order to maintain current facility reports.
 
-Provide administrative support for a broad range of activities related to the Permanent Collection, including acquisitions, inventory and storage of objects, collections access and inquiries, intern training, maintenance of collections records, collections re-housing, and other duties and projects as assigned.
 
-Meet regularly with museum staff to evaluate progress and develop goals, plans, and solutions related to same.
 
-Work with University legal staff to ensure proper procedures throughout Collections Management.
 
Donations, Loans and Exhibitions (15%)
 
-Provide active registration duties for donation and loan objects in transit.
 
-Plan, arrange, and record domestic and international loan and exhibition shipping details to and from the museum.  Work with lenders, fine art shippers, museum and other institution staff, and other involved parties, as applicable, to coordinate, gather and communicate details and information relating to crate design and construction, packing, freight forwarding, storage, and
travel arrangements for couriers. Perform courier duties as necessary.
 
-Support in-house exhibitions team to plan packing/unpacking and installation/deinstallation, movement to storage and/or transfer to shipper; direct unpacking/packing, establish and prepare condition reports and condition report notebooks; prepare damage reports as necessary; obtain and incorporate digital images in reports.
 
Professional Development and Other (5%)
 
-Participate in training and workshops in order to maintain and develop skills
 
-Other duties as assigned
 
 
Required Qualifications:
 
Bachelor’s degree in Art History, Museum Studies, or a related field.  Three years related museum or gallery experience in registration and/or collection management. Candidates must have a knowledge of standard museum policies and procedures, AAM standards, and museum cataloging systems.  Experience with standards of proper care and storage of museum objects is necessary
 
Requires strong organizational and problem-solving skills and an attention to detail.  Good communication skills in speech and written work are necessary.
 
Must be able to regularly lift and/or move a minimum of twenty five (25) pounds.

-Ability to meet deadlines and handle multiple tasks simultaneously
-Ability to interact with all employees and volunteers at all levels of responsibility
-Excellent written and oral communication skills; strong interpersonal skills. Must be able to communicate clearly with student workers, co-workers, donors, and the public.
-Public relation skills to promote exhibitions and donations through news media.
-Ability to maintain the highest ethics as they relate to all aspects of registrarial endeavor, and to understand and maintain the highest levels of confidentiality.
 
Knowledge of:
-General understanding of conservation practices and art history.
-Collection management and museum insurance practices
-Exhibition loan and traveling exhibit practices
-Damage prevention methods to protect against: light, humidity, mold, heat, etc...
-Artwork preparation for exhibit hanging and display
-Safe storage and shipping methods.
 
Proficiency with:
-PC/Mac computer Platforms
-Microsoft Word, PhotoShop, FileMaker Pro
-internet and library research  
 
 
 
Preferred Qualifications:
 
Master's degree in Museum Studies, Art History, Arts Administration, or related field, and 5 years of related museum or gallery experience
 
Skills in handling, moving, lifting and packing museum collections are preferred. Photography skills are preferred.
