JOB SUMMARY:

The Event and Facility Operations Manager will oversee the operation of the mechanical, life safety, and ADA systems of the Sewall-Belmont House & Museum, serve as the primary maintenance staff person, manage all part-time staff and various building and grounds projects, and manage facility rentals.

 

MAJOR DUTIES:

 

1.       Act as the primary staff member for the day to day operation and maintenance of the site's building systems and equipment, with responsibilities including but not limited to the following equipment:  HVAC, fire suppression, and security systems; fire alarms; sewer and electrical systems; garden sprinklers/exterior lighting; and the exterior and interior wheelchair lifts.  Work will involve overseeing all maintenance contract adherences and yearly equipment inspection and certification.

 

2.      Ensure the cleanliness and professional presentation of the Museum at all times (both interior and exterior) and supervise the cleaning and maintenance personnel.  Ensure the availability and organization of supplies, tools, and ordering supplies as needed to ensure operational readiness.

 

3.      Serve as the back-up maintenance staff member, with duties including but not limited to cleaning bathrooms/offices/public and private spaces; washing windows; overseeing trash disposal; mopping/vacuuming/shampooing/waxing floors/carpets; and snow/ice removal - all adhering to a cyclical maintenance plan.

 

4.      Serve as the primary manager of facility rentals and associated paperwork; including preview tours of facilities, scheduling facility rentals, drafting contracts, collection of fees, and contact with renters and the contract caterer.  Make arrangements for personnel to conduct rental set-up and serve as the on-site facility rental supervisor.  Manage all aspects of “day of” facility rentals from load in to load out, including supervision of all vendor deliveries/pick-ups.

 

5.      In conjunction with the museum’s curatorial staff, supervise special buildings and grounds projects on a daily basis, including but not limited to painting, roofing, electrical, plumbing, and brickwork.  Schedule and supervise all contract/hourly laborers and outside services as needed.

 

6.      Manage the public and staff meeting space.  Support the work of the museum’s program and curatorial staff relative to operation/maintenance/security issues, with responsibilities including but not limited to supervising vendor deliveries/pick-ups with special attention paid to the security of the museum and its collections; Schedule and supervise set-up, break down and facilitate all logistics for each event; and assists with exhibition installation and break-down, including but not limited to painting, patching, and light carpentry. 

 

7.      Develop, implement and perpetuate a cyclical maintenance plan and ADA compliance program; work with appropriate managerial staff to ensure the Disaster Plan remains current, there are adequate emergency supplies on hand, and to conduct emergency drills.

 

8.      Organize maintenance logs, files, drawings, photographs, and records and provide analysis of utility/maintenances costs relative to selection of operation and suppliers/vendors.

 

9.      Set-up and operate all technical and A/V equipment.  Manage all office equipment including the photocopier, fax machine, telephone system, postage machine, and water cooler contracts.  Maintain the IT system, working with offsite contractor to monitor and perform routine tasks such as backup, ordering of software, renewing domain names, etc.  Administer the key system for the entire site.

 

 

QUALIFICATIONS:

·         At least three years of professional experience working as a site/facility manager.  Must have a working knowledge of buildings and mechanical systems, maintenance and repair methods, and tools and materials.

 

·         Knowledge of HVAC/electrical/plumbing/office equipment systems, fire/security/ADA requirements

 

·         Capacity to multi-task, meet deadlines, and handle change at a moment’s notice in a fast-paced environment.  Must have the ability to work well with a variety of individuals and audiences, and must have the organizational skills necessary to manage a variety of responsibilities.

 

·         Ability to respond to alarms or events, handle emergencies, and provide other assistance as required. 

 

·         Must be able to lift 50 lbs., climb ladders, and maneuver through a 200 year old building via 4-5 flights of stairs.

 

·         Must have a working knowledge of and ability to use a computer

 

·         Excellent interpersonal, organizational, and customer service skills

 

·         High school diploma or vocational school graduation.

 

 

OTHER TERMS AND CONDITIONS:

·         Work holidays as needed.

·         Incumbent works a Wednesday to Sunday schedule, nights as needed.
