Position Summary
Under the general supervision of the Registrar, the Database
Coordinator manages all databases utilized by the Collections Management
Department including The Museum System (TMS), the Digital Asset
Management System (DAMS), and any other databases that may come into
use. The Database Coordinator will ensure the overall integrity,
functionality and security of these systems as they relates to the
permanent and loaned collection of Crystal Bridges Museum of American
Art. The Database Coordinator may serve as supervisor to one or more
positions and/or volunteers.
Principal Responsibilities TMS (Essential Functions)
- Manage and maintain database on a daily basis

Work closely with others in Collections Management to ensure the
proper and consistent entry of data and to develop internal standards
for data entry and reporting utilizing approved museum standards

Work closely with the IT Department to ensure the overall integrity,
functionality and security of TMS and the data stored within
- Manage Crystal Reports related to TMS, develop new reports as needed
- Ensure the effective management and use of TMS museum wide
- Maintain a working knowledge of TMS and Crystal Reports and inform staff of changes or updates in both programs
- Develop and maintain a TMS User’s Manual for use museum-wide
- Develop training procedures to insure effective use of TMS by other museum departments

Assist in the implementation and integration of TMS into other digital
media such as a presence on the website and the integration of a
Digital Asset Management System

- Manage and maintain the portions of the database(s) utilized by Collections Management on a daily basis

Work closely with others utilizing the database(s) to ensure the
proper and consistent entry of data and to develop internal standards
for data entry and reporting utilizing approved museum standards
- Work closely with the IT Department to ensure the overall integrity, functionality and security of the system(s)
- Assist in the implementation and integration of the database system(s) as necessary
Secondary Responsibilities
- In conjunction with IT, coordinate maintenance of server and working backup systems
- Assist with data entry as required
- Assist with registrational duties as needed
- Perform general administrative duties as required
- Complete special projects and basic research as assigned
- Complete all other duties as assigned within the scope of responsibility and skill required for the job.
Minimum Qualifications
Education, Training, and Traits:
- Bachelor’s degree from an accredited college or university in IT, art, art history, or museum studies
- Knowledge of SQL and ability to write SQL required
- Demonstrated expertise in database and database standards
- Enthusiasm about being a member of a team developing a major new art museum with a strong visitor-centered community dynamic
- Ability to understand and maintain the highest levels of confidentiality
Work Experience:
- Minimum two years of experience in database management
- Proficiency in Crystal Reports required
- Experience using complex collections database applications, required
- Experience with The Museum System (TMS) preferred
- Work experience in a museum environment preferred

- Physical demands:
In the work environment described below, position requires verbal and
written conversation with others, sitting, standing, walking, bending,
reaching and climbing. Position requires sitting at a desk and utilizing
a computer for prolonged periods of time and good eye/hand
coordination. Vision abilities required by the job include close vision.
- Work Environment:
The majority of work will be performed in an office environment. The
noise level in the work environment is usually low to moderate.
Occasional weekend, evening and night work hours also required.
