POSITION: Clerical Assistant III - Membership Coordinator
DEPARTMENT: Museum
WORK SCHEDULE: 8:00 am to 5:00 pm, Monday through Friday. Hours may vary to
include weekends and holidays.
SALARY RANGE: $10.6087 to $13.5399 per hour
STATUS: Regular Full-Time

*CLERICAL ASSISTANT III – MEMBERSHIP COORDINATOR*

*Definition and Distinguishing Characteristics*
This is advanced, skilled clerical and secretarial work. Work of this class
involves providing advanced clerical support for a particular
function and/or secretarial support to an administrative superior. Work of
this class may also extend to limited supervisory responsibility for a small
to moderate-size clerical staff where full supervisory responsibility for
hiring and firing is maintained at a higher level within the organization.

Work of this class is performed in accordance with established policies and
procedures and requires independent attention to detail.
Employees are expected to exercise some discretion in handling requests for
department services. However, unusual cases requiring
exceptions are referred to a superior for resolution. The work requires
knowledges that can be learned on the job with supervisory
participation. Assists and acts in a confidential capacity to the department
head. Some positions in this class may exercise technical and procedural
supervision over clerical subordinates. However, supervisory responsibility
is not a necessary criterion for allocation to this class. Work usually
originates through demands of the general public or other governmental
agencies for service. However, employees in this class may also be expected
to assist in the planning and developing of new work responsibilities and
new clerical methods of providing services in area assigned. Employees in
this class receive only general supervision, with work reviewed primarily in
terms of an error-free operation. Work usually involves conditions requiring
explanation of policies and applicable rules, regulations and administrative
decisions. Work also involves considerable contact with City employees and
the general public.

*Typical Examples of Work Performed*
Maintains confidential information regarding department functions and/or
employees.
May act as secretary to high level professionals.
May perform highly skilled typing tasks involving advanced word processing
equipment using personal computers or typewriters.
May perform data entry/retrieval functions on the City’s mainframe or
personal computers.
May direct the performance of tasks performed by positions allocated to the
class Clerical Assistant I or Clerical Assistant II.
May direct the maintenance of police crime statistics and associated crime
reporting procedures, administers NCIC procedures, performsresearch and
statistical summaries and analysis of data.
Composes and types answers on moderately complex matters related to work
area, requests information, prepares a variety of reports,
specifications, tabulations and similar material.
May relieve front desk personnel for short periods.
Interviews visitors, answers questions relating to departmental operation.
May drive City vehicles.
Performs related work as required.

Knowledges, Skills and Abilities*
Considerable knowledge of office practices and procedures and efficient
clerical processing methods.
Considerable knowledge of English language, spelling and grammar.
Extensive knowledge of the specifics regarding the specialized clerical area
in which position functions.
Some positions may be required to possess a knowledge of a specialized
vocabulary as requested by the using department.
Skill in the use of mainframe and personal computer systems for entry and
retrieval of records.
Demonstrated full-functioning typing skill at a minimum rate of 60 wpm
without errors.
Ability to maintain confidentiality regarding department functions and
employees.
Ability to control and process information received from a wide variety of
sources and disseminate it to an equally wide variety of users.
Ability to make decisions in accordance with general clerical or procedural
guidelines and often relying on precedents established by
past administrative decisions.
Ability to drive City vehicles safely and efficiently.
Ability to establish and maintain effective working relationships with
fellow employees and the general public.
Minimum Requirements of Education and Experience
Graduation from a standard senior high school or equivalent, preferably
supplemented by formal course work in Business Administration, Secretarial
Science or related field, and four years' increasingly responsible clerical
experience, one year of which must have been at the level of Clerical
Assistant II or above.

Necessary Special Qualification*
Must possess and maintain a valid Class D driver's license issued by the
State of New Mexico and have a satisfactory driving record.
Necessary Special Requirements
Must be able to pass a rigid background investigation including work
history, criminal records, driving records and other records deemed
necessary.
