Administrative Assistant 

The New Jersey State Historical Records Advisory Board (NJSHRAB) seeks applicants for the part-time position of SHRAB Administrative Assistant.

The description of duties for this position appears below.   NJSHRAB has contracted with Rutgers, the State University, to hire and pay the assistant, who will have an office in the Rutgers University Libraries in New Brunswick and may frequently report for work at the State Archives in Trenton.

NJSHRAB has received an 18-month grant from the National Historical Publications and Records Commission (NHPRC) for administrative support and conservation planning services to improve and extend the board's outreach to historical records repositories and users of the state's documentary heritage.  NJSHRAB's aims for 2008-2009 include:  1) provide support of statewide conservation planning being coordinated by the Institute for Museum and Library Services (IMLS) grant funded New Jersey Conservation Consortium (NJCC) consultant, 2) implementing key goals and objectives in the board's 2001 Strategic Plan to Improve the Preservation, Collection, and Use of New Jersey's Historical Records, and 3) updating the Strategic Plan to reflect significant legislative and funding changes affecting the management of public archives and records 

The grant runs from 1 July 2008 to 31 December 2009 and provides wages, benefits and travel reimbursement to locations outside normal reporting locations. 



NEW JERSEY STATE HISTORICAL RECORDS ADVISORY BOARD ADMINISTRATIVE SUPPORT PROJECT 

SHRAB Assistant 
Description of Duties 

The NJSHRAB Assistant will work directly with the State Historical Records Coordinator in the Office of the Director, Division of Archives and Records Management in Trenton and consult with SHRAB and NJCC board members on the Rutgers University Libraries staff in New Brunswick.

NJSHRAB Administrative Duties include, but are not limited to, the following: 

*       Assisting the Coordinator with scheduling, logistics, and advance work for all NJSHRAB   activities, including board meetings, subcommittee meetings and work sessions, conferences and public programs

*       Assisting the Coordinator with NJSHRAB communications, including press materials, web site content, and preparing and distributing materials to board and committee members

*    Taking board meeting minutes 
*    Assisting the Coordinator with drafting recommended annual priorities statement 
*    Assisting the board with drafting revisions to the Strategic Plan and preparing it for publication 
*    Providing ongoing administrative support to subcommittees for planning Archives Week events, annual conferences, workshops and focus groups

*    Serving as the Coordinator's liaison with allied agencies and organizations (New Jersey Historical Commission, Advocates for New Jersey History, New Jersey Studies Academic Alliance, MARAC New Jersey Caucus, New Jersey Library Association, League of Historical Societies, Genealogical Society of New Jersey, etc.)



Support of Statewide Conservation Planning 

*       Review extant surveys of public archives (specifically PARIS generated conservation needs assessments of New Jersey's 21 counties and largest municipalities) and report to the NJCC steering committee on the assessed needs

*       Develop and implement an additional survey to assess conservation needs of repositories of public archives 
*       Participate in NJCC steering committee meetings, conservation presentations and focus group meetings 
*       Participate in three NJCC focus group meetings in the northern, central and southern parts of the state 
*       Participate in presentations by guest conservators at four NJCC meetings 
*       Work with the committee, cultural institutions, and statewide cultural organizations to develop a comprehensive conservation plan for New Jersey

Wage:   Commensurate with experience 

Requirements: 
Education - Graduation from an accredited college or university with a Master's degree in history, archival studies, or library service or equivalent.

Experience: - At least two (2) years of experience in an archives, historical agency or historical library engaged in the administration of historical collections, research, reference services, writing and/or publication, or the planning of public exhibitions or other public programs.  Applicant should also be conversant with preservation and conservation trends and needs in libraries and/or archives, and be familiar with survey methodologies.  Sound office administrative and organizational skills are a must, with proficiency using Microsoft Office products (Excel, Word, Access, etc.).

License - A driver's license valid in the USA.

New Jersey Cultural Institutions Awarded Prestigious Grant from the Institute of Museum and Library Services
Newark, New Jersey - (May 27, 2008) - A plan to preserve New Jersey's rich cultural treasures held in museums, libraries and archives will now come to fruition thanks to a Statewide Planning Grant from the federal Institute of Museum and Library Services (IMLS).  

For the first time a consortium of New Jersey cultural institutions, including The Newark Museum, the Rutgers University Libraries, The New Jersey State Museum, New Jersey State Library and the New Jersey State Archives, will have the opportunity to assess the needs and to develop short and long-term plans to conserve New Jersey's vast collection materials. They will assess and present plans for change, and will include several cultural organizations including the New Jersey Association of Museums, New Jersey Library Association, and groups representing history museums and archives throughout the state.

One of nineteen projects chosen for the IMLS grant, the objective of the consortium is to form a year-long planning committee to identify preservation needs of state-wide materials ranging from art, rare books and manuscripts, photographs, documents, digital materials, moving images, historic and ethnographic objects, and natural science specimens, to name a few.  The main goal for the planning committee is to ensure that collections held in public trust by New Jersey's cultural institutions are available for future generations.  

Priorities will be established and a workable plan set in place in which the fundamental objective is to save New Jersey's cultural resources.  The institutions have already recognized areas that need high consultation, specifically conservation staffing, emergency planning, storage conditions and environmental control.  A comprehensive report and action plan to preserve New Jersey's diverse treasures will conclude the year-long project. 

 "These 19 projects represent movement toward collaborative thinking among collection-holding institutions that have a strong commitment to collections stewardship," stated Dr. Anne-Imelda M. Radice, Director, Institute of Museum and Library Services. "IMLS funding will assist these relationships in blossoming into powerful alliances that will serve collections and the people who use them for years to come."
