Although I agree that the museum should charge a special fee, above a normal rental fee, I would caution against the impulse to try and cash in because it’s a commercial film.  I was involved in negotiating for use of property in Alaska for the movie “Snow Falling on Cedars”.  Most of the property owners were very accommodating and reasonable but one – that would have been filmed for a crucial scene – saw dollar signs and made excessive demands.  Subsequently, the film was shot in Washington rather than at our location.  Still, think about how you structure your use of photographs for non-profit, private use, one time commercial use or multiple commercial use. There are different rates for different uses – the same would be appropriate for your facility rental and use of resources.

If you do that you are shafting yourself and the people that fund your museum.   The movie is using your facility to MAKE A LOT or money.   The museum and those that fund the museum deserve a share of that money.    Not a huge share but if you think about the amount of money it took to create the museum in the first place then ALL that money is what they are getting for a small fee.  This is not a dinner party.  This is a movie that they hope will bank world wide with DVD sales and merchandising in the billions of dollars.   Now I am for the most part a commercial artist.  I do commercial photography and Visual effects for movies.   You should NOT be charging your normal rate to rent this space.   This is not a non profit or some people throwing party. These are people who plane to make a boat load of cash off your many many many years of investments and care.

In November of 1991, a major scene for Tim Robbins'
satire film, "Bob Roberts," was filmed in the Music
Hall of the Andrew Carnegie Free Library in Carnegie,
Pennsylvania. The filming took a whole week, hence the
Music Hall was unavailable for other rentals during
that time period.

Although I do not remember the exact figure they were
charged, we used our regular rental schedule as a
basis, but we did charge them more for monopolizing
the Music Hall for that length of time. In this case,
the film crew was great and accomodated the needs of
keeping the Library available to the public.

Later in the 1990s, a major soap opera filmed a scene
using only the exterior of the Library building. The
scene was filmed at night, so it did not affect the
Library. Although, they did use the Library for
staging the filming, but they were charged a smaller
fee for this event. And, this rental only required one
night.

So, these types of rentals vary. If you have a regular
schedule of rental fees, start there--then, add on if
there are other requirements that need to be met for
the movie studio.

Good luck!
