Assistant Registrar Ackland Art Museum The University of North Carolina at Chapel Hill The Ackland Art Museum seeks a full-time Assistant Registrar responsible for preparing and maintaining manual and electronic files; entering data into the Museum's collection management database; rights and reproductions; processing exhibitions, loans, and acquisitions; overseeing photography and imaging of the collection; and other general tasks of an assistant registrar. Assists registrar with packing, shipping, receiving, and inventory. Works closely with curators, preparators, conservators, photographers, education and development staff, Museum donors and patrons. _ _ _Job Description_ 1. Assists Registrar in preparing and maintaining paper and electronic files on all art objects in the museum. Includes entering information about new loans, acquisitions and gifts, updating information such as location changes. Creates and updates database reports as needed. Compiles and enters data in object files and Multi MIMSY database. 2. Assists Registrar with planning, implementation, training, and maintenance of Multi MIMSY collection management system. Advises and assists with research, development, and coordination of institutional digitization project. Works with Oracle Database Administrator and relevant campus IT departments as necessary. 3. Responsible for rights and reproductions of objects in the Museum collections. Clarifies and establishes procedures, researches current copyright issues pertaining to objects in the collection and/or on loan. Generates invoices, labels, reproduction contracts and tracks transparency rentals. Assists Registrar with generating and distributing non-exclusive copyright licenses. 4. Under the supervision of the Registrar, the Assistant Registrar serves as the primary contact with lending institutions and individuals for designated traveling exhibitions, loaned exhibitions, and individual loans. Duties include but are not limited to negotiating loan agreements, arranging shipping and insurance, maintaining relevant records and documentation and keeping appropriate registration, preparation and curatorial staff apprised of any special requirements. Position may also assist with installations as needed. Follows safety guidelines established by the Museum when handling works of art. 5. Completes all paperwork for incoming and outgoing loans and exhibitions, as well as Ackland-organized traveling exhibitions. Creates files for objects on loan to and from the Museum, for exhibitions and for traveling exhibitions. Processes exhibition, loan agreement, and traveling exhibition forms. Prepares and distributes incoming and outgoing shipping receipts for works of art entering or leaving the Museum. Completes all condition reports for works of art entering or leaving the Museum. Coordinates packing and unpacking of artwork with preparators and takes accurate, thorough packing notes. Creates condition report notebooks for traveling exhibitions. Coordinates tasks with other Museum staff as necessary. 6. Oversees photography and/or imaging issues related to acquisitions and loans. Processes outside and in-house photo orders: finds photographs or orders photography; monitors stock of collection images and tracks digital image inventory, ordering more prints as necessary. Organizes and manages photo shoots and coordinates the location/movement of artwork. Acts as a liaison between Museum departments and receives and distributes photo order forms. Prepares annual budget for imaging needs. Chairs Imaging Committee, which provides a forum for planning, scheduling and discussion of photography issues within the Museum. 7. Assists Registrar with general office duties. Updates object files and photography files as new information is received from curatorial staff. Records location changes. Maintains/organizes photo negative files and digital image files for the collection and institutional archives. Assists with inventory of collection and updates procedures as needed. 8. Oversees all on-campus loans, annually conducts inventory and condition checks. Ensures records pertaining to campus loans are accurate and up-to-date. 9. Assists registrar with recruiting and supervision of departmental volunteers, interns, and work-study students. *Qualifications:* Minimum qualifications include B.A. in relevant field with 2-5 years of museum or gallery experience; M.A. preferred. Knowledge of museum procedures and practices. Strong organizational skills, attention to detail and accuracy are critical. Strong computer skills, including database management experience, and familiarity with Multi MIMSY 2000 or MIMSY XG preferred. Must be manually dexterous and able to handle multiple tasks simultaneously. Ability and willingness to handle works of art of moderate size and weight safely, following specific Museum and AAM guidelines. Ability to handle multiple tasks, set priorities meet deadlines, exercise sound judgment and discretion in the handling of confidential matters. Works effectively with co-workers, university staff and students, and outside constituents. Grade 61, Processing Assistant V, salary range: $23,069-$35,412, Monday-Friday, 8-5 p.m. Some evenings and weekend work may be necessary to accommodate deadlines and priorities.
