Like Janice, I have used FileMaker at two University museums (one= rather large, one small) and at home (where I have all of the Comanche cen= sus lists 1879-1929, plus other census-like data, in a Filemaker database. = I also have a Filemaker database of the extant Civil War cannon). We u= se the brand new Filemaker at Seton Hall.

Our FilemakerPro system we have set up does everything that Robert Baron classifies as collection management. In our historic house situation, linked to a local history museum, any packaging with local business print on it is likely to be used in an exhibit someday, so would be kept, unless duplicate. Most of the shoeboxes weren't local, however, so I decided that if we had a pair of shoes that matched, we'd keep them; if not we'd keep only one box of each shoe manufacturer not already represented in the boxes with shoes. As for storage, it seemed to me that if the shoes were fully protected from touching the acidic cardboard, that it would be o.k. to store them in their original boxes, at least until we had more storage space. -Though hats probably should be stored separately, as you pointed out, unless the hatbox in question has a really good surface coating covering up the acidic cardboard. I guess the matter of keeping or not keeping depends on the likelihood of someday having an exhibit enhanced by having kept them. (Or, in the case of local businesses, any research value.) I tend to favor developing a good product package collection, because things like that get pitched by almost everyone at home, and in only a few years, depending on how fast packaging styles change, people are really tickled to see them in an exhibit or in an historic house, and they can really help 'bring alive' an exhibit. In an historic house, those mundane things make the house more interesting and more 'real' to visitors. As you point out, though, there is a limit to storage, so as long as you have enough to grace an exhibit keeping the rest is likely to be redundant. At that point, though, visual appeal may enter the discussion, and if you have a "Wow isn't that a great hatbox" I guess you might want to keep it. So many things to think about! Hello all, We just received a fairly large collection of mid-20th century ladies hats. Many of these hats came to us in hat boxes, but the problem is that 2-4 hats are inside each box. Most of them cannot be authenticated as "THE" hat that came in the box, because labels don't match, etc. I am planning to remove the hats from the boxes and place them in acid-free storage boxes. But what do I do with the hat boxes themselves? What do you do at your museum? Do you accession the empty boxes separately and take up double the storage space? Or do you pitch them? Does it matter if you can match the hat up with the correct box or not? Do "orphan" boxes matter? There are quite a few boxes in this particular collection -- so we aren't talking about one or two. Storage space -- like always, everywhere -- is limited. I also have this question about shoes that are or aren't in their original boxes. Do the boxes themselves matter? Usually if the boxes are identified with a local department store, I have been keeping them and accessioning them as their own artifacts (that goes for shoes, hats, clothing boxes, etc). But if the box comes from a major department store that could have been purchased in town or across the country, do I want to keep that? Incidentally, I can't ask the donor. Certain molds are dangerous to breathe in and can cause severe allergic reactions as well. Freezing will not kill the mold. It will only prevent its spread and postpone your problem to a later date. We use sunlight to kill mold. If it is possible in your climate, place the open books in the sun for several hours. Once the spores are killed they need to be brushed and vacuumed off. Proper precautions should be taken during this process such as wearing clothing protection and a particle mask. Your vacuum should be equipped with a HEPA filter. No matter how well you clean these books there will still be some spores left behind. Mold forms because of high humidity conditions. If the books are then placed back into the same storage conditions with high humidity, the mold can reoccur. You may have to use a dehumidifer to reduce the relative humidity to 55% or below. Good air circulation also reduces the chance for mold growth. If your bookcases are against an exterior wall, rising damp in the wall may be exacerbating your problem. If it is possible to pull the bookcases away from the wall slightly, relocate them to an interior wall or ventilate them somehow, this should help reduce the humidity. Spreading the books out so that they are not so tightly packed together can help as well. What happens when that person no longer works for the museum? How relational is the database and do fields "self populate"? Are you able to set up sophisticated task management systems? How do you handle various styled accession numbers? What about managing all the data related to use of an object? What happens when users decide they need a new function and how is that new function implemented? Who supports the system when it decides not to talk to the rest of your software? Does it contain an unalterable audit log? vocabulary constraints? Hierarchical access (i.e. the registrar, curator, and volunteer can view, add, or change only certain types of data and this is security controlled? Can you link objects to processes or places...like scheduling them for loans or conservation or link them to storage or exhibit locations? Can you maintain an unalterable history of where the object's been... I can think of a lot of things I might want to do and I'll be darned if I have the energy or luxury of time and money to spend programming FileMaker to track it all. There are a lot of wheels that don't need to be reinvented. Homegrown systems reinvent what other programmers dedicate 8hrs/day to doing. Flexible....maybe....documented...really? Diane p.s. You do have to take a few minutes here and ther= e to change the programming.. Every once in a while. The only reason I had to change any programming in it in the past few years is because we upgraded the software. So it depends on if you are willing to do that. I used to run AltaMira PRess and they used to distribute PastPerfect Museum Software. But I don't work for AltaMira anymore and they don't distribute PastPerfect anymore. PastPerfect was designed to avoid just the kind of discussions you are having on the list. It's supposed to be cheap enough and simple enough for small museums to not have to worry about reinventing the wheel. In addition, it was designed in consultation with lots of input from many museums, so most of its fields represent "best practices" in registration. Furthermore, by establishing a common set of fields, registrars can move from one institution to another, training can take place between institutions, and the databases can be compared between museums. Last I knew, about 3500 museums were using PP. As they've moved to later versions of PP, the cost has gone up and the complexity has gone up as well(the program does more). But I'm still convinced, as I was in 1998 when we first distributed it, that it's a very good idea for smaller institutions, for the reasons listed above. It is extermely versitle and user and client friendly. I love the fact that you can import image files into the databases and also print out the database and reports in PDF format too. We use fileMaker pro for everything from a projects database to object collections surveys to architectural conservation surveys and assessments to databases for historic paint and finish samples and other scientific sample analysis, etc. And its capability to work cross-platform on Macs and PC's is definitely a major plus for us and our clients. They will not grow unless water is present- in this case high humidity. Also, mold spores are ubiquitous in our environment which explains why it forms on almost everything within 48 hours in very high humidity situations. So, keeping the humidity below 55% will put mold growth "on hold" and our best defense against mold growth is good air circulation and lower humidity. You should talk to a book conservator if these books are of any value. I would absolutely NOT NOT NOT put them in the sun. The sun will yellow and embrittle the paper, fade the ink, affect the binding materials, etc. Bag and freeze, yes. Vacuum with HEPA or brush off outside or in a well-ventilated area, yes. The absolute best thing is to isolate these things from the rest of your collection so that the spores don't spread. And to control moisture and humidity to prevent their growth. Unless these things are really irreplaceable, they pose a great risk to other items in your collection and it may just be better to just get rid of them. If these are valuable or their information irreplaceable, talk to a book conservator. Possibly control the mold for now and scan them and then pitch the originals. Double counting cannot be avoided unless you get the name of each visitor. Therefore a walk-up customer who chooses to come again next week is counted twice. Same day sales should be fine given you reference the same sale record in your admission system. If you are not using an admission system double counting may occur. If you consider the barcode route you want to use a computerized ticketing system with access control. You then can scan tickets whenever and wherever you want. You can then do in depth tracking and visitation analysis. This is rare to nonexistent in museums. The concept of tracking a customer by constantly asking for a ticket can be seen as intrusive. Some museums have considered RFID. The problem is you need an active RFID tag and these cost around $10 a tag. Not a disposable technology and it's akin to placing dog collar on visitors. I would say most museums are not about creating this kind of environment. A passive RFID would require you to issue wristband which may work.
