Title: Assistant Registrar Reports to: Registrar General Summary: The Assistant Registrar works under the supervision of the Registrar to manage the museum’s permanent collection, maintain the collections management databases, coordinate the museum’s campus loan program, and process requests for photographic materials and image reproduction. Essential Functions: 35% Maintain the text and image components of the museum’s collections management databases, both in-house and on the museum’s website, and assist with the planning and implementation of a database upgrade project. This includes entering object information, scanning images, updating collection information on website, and coordinating updates and corrections to on-line information. 30% Manage the museum’s permanent collection and process new acquisitions. This includes arranging packing and shipping for gifts and purchases, producing incoming receipts and condition reports, assigning and applying accession numbers, conducting inventories, and maintaining the art storage areas. 20% Coordinate the ‘Art To Live With’ and campus loan programs. This includes reviewing placement locations, processing paperwork for outgoing and returning loans, completing condition reports on works, coordinating installation and deinstallation, conducting yearly inventory of works out on loan, and maintaining database and paper files. 10% Manage the museum’s photographic materials and process incoming and outgoing reproduction requests. This includes labeling and filing new photographic materials, corresponding with and sending invoices to requestors, arranging for the production of photographic materials, collecting fee payment and file copies of publications, and working with museum staff on coordinating and overseeing all outgoing reproduction requests. 5% Assist the Registrar with the supervision of student interns. Qualifications: -Bachelor’s degree required, preferably in art history or closely related subject. Master’s degree preferred in museum studies, art history, or other related subject. -Previous experience required in a museum registration office or related field. -Knowledge of museum standards regarding the care and handling of art required. -Strong computer skills and familiarity with databases, especially FileMaker Pro, required. -Ability to travel and work outside regular business hours, when necessary, required. -Ability to represent the museum in a professional manner to donors, professional colleagues, and all university constituencies required. Mental Demands: -Applicant must be detail-oriented and sensitive to the necessity of accurate record-keeping. -Ability to maintain confidentiality. -Excellent written, oral, and auditory communication skills. -Ability to see projects through to completion and ability to work well both with others and under own direction. -Ability to handle multiple projects simultaneously and prioritize workflow. Physical Demands: -Ability to see, handle, lift, push, pull, and carry objects. -Ability to crouch, climb, balance, and stand for long periods of time. -Ability to participate in transportation of artworks and withstand various outdoor temperatures.
