We are developing a new policy about loaning and/or copying photographs from our archival collection. Our Collections Committee met to revamp our policy, and these are a few of the questions they asked me to pass along to you: Do you have a written policy dealing with the loan of archival materials to museums and/or non-museum exhibition venues? Do you ever limit the number of photographs you will loan at one time to a single user? Do you limit the number of times you loan to one venue in a given period time – one year, two years? What is your approval process for outgoing loans? Is the decision to loan an item ever influenced by how its use fits into the mission of the borrower's institution? What other factors are considered? Do you ask that copies of photographs be returned at the end of the exhibit? Do you ask the borrowers to sign a contract? Does the contract state it is a one time use? How do you monitor whether or not it is used more than once? Do you ask that no photos be taken of the exhibited items?
