PROJECT COORDINATOR Washington Art Consortium


Reports to:     While the office of the WAC is at Western Washington University, the Coordinator will report to Director of Western Gallery who is one of Board of Directors. All decisions are made by the entire Washington Art Consortium Board of Directors and carried out by its officers.

Hours of Work: Half-time position (20 hours per week), Monday - Friday, between 8 a.m. and 5 p.m.


Summary:  The Washington Art Consortium was formed for the sole purpose of encouraging and assisting seven art museums/university galleries* (see list below) in pursuit of educational and charitable purposes. Specifically, these are to:    Undertake acquisition, preservation, and exhibition of American art of the 20th and 21st centuries pertaining to the collections owned by the Consortium: Works on Paper: American Art 1945-1975; American Photographs 1970 - 1980; Richard and Mary Margaret Aiken Collection of Late 20th Century Works on Paper; Create and maintain a central database, available on the Internet, to hold information on Northwest Art held in the collections of each member institution. The purpose of this information is to enhance the knowledge and understanding of Northwest Art and the Consortium collections, referenced above, throughout the United States and the world.

*Originally formed in the mid seventies and incorporated 2001: Western Gallery, Western Washington University; Museum of Art, Washington State University, Pullman; Henry Art Gallery, University of Washington; Tacoma Art Museum; Seattle Art Museum; Whatcom Museum of History and Art, Bellingham; Northwest Museum of Arts and Culture, Spokane.

Essential Job Functions: Coordinates the operations of the Washington Art Consortium (WAC); performs duties in support of programs outlined by the Board of Directors.  Primary duties are:  Maintains the collections of the WAC housed at the Western Gallery, including cataloguing, record keeping, facilitating loan requests, and working with conservator.  Work initially with WWU Web Developer on Northwest Database.  Focus specifically on maintaining Northwest Art database.  Work with individual member institutions in facilitating questions and requests stemming from database; provide information to public on WAC.  Maintain office of WAC, including all secretarial and budget records.  Perform secretarial duties for WAC, such as correspondence, arranging meetings, and related duties. Assists Board of Directors with grant proposals; performs requested duties on WAC exhibitions and catalogues.

Minimum Qualifications Required: HS graduation or equivalent AND two (2) years experience in the program specialty or equivalent education/experience.

Requirements: Must be able to assist in maintaining the art collections of WAC.  Knowledge of general museum practices in cataloguing works of art, record keeping and facilitating loan requests required.  Must have experience and knowledge in the handling of works of art in order to work with conservator. Must be able to conduct general research skills in dealing with history of an art object or collection.  Must be able to maintain the Northwest Art Database: One year user experience and basic knowledge of ASP (Active Service Page), MS Access and SQL (Structured Database Language) systems required. Excellent communication skills and customer service experience also required to facilitating questions and handling special requests utilizing database. Must have experience in customer relations and the ability to set priorities and handle requests on a timely basis.  General office organizational skills, precise record keeping on Board meetings, budget records also required.  Must be able to create and edit professional letters, schedule and organize meetings, write reports and grants and execute research on collections.

Preferred Qualifications: BA or MA in History of Art with emphasis on 20th century art.  More than one year experience using ASP, MS Access, and SQL. Work skills required for maintaining collections of WAC: Actual job experience of at least one year, or proven independent records, in cataloguing works of art, record keeping and facilitating requests pertaining to art works. Historical research skills of art objects or collections.
