The Association of Art Museum Directors (AAMD) is a membership organization which represents 175 directors of the major art museums in the United States, Canada and Mexico. The New York staff consists of the Executive Director, Assistant to Executive Director, Administrative Assistant; the Director of Government Affairs has an office in Washington, DC. POSITION: Administrative Assistant RESPONSIBILITIES: Administrative Tasks: Assist staff with administrative tasks including, but not limited to: Answering telephone, word processing and data entry; photocopying, and faxing. Opening, sorting, prioritizing and distributing mail Organizing and ordering office supplies Coordinates scheduling of trustee meetings; reserve space and arrange for catering, if required Maintaining accounts payable files and responsibility for weekly check writing Distribute publications and mailings to membership by electronic and regular mail Liaison with AAMD Webmaster Respond to questions regarding membership, questions from press, fielding/screening calls for Executive Director and Assistant to Director Assist with Midwinter/Annual and Trustee Meetings Two full membership meetings are held each year in a different city. There is a large volume of work that goes into the planning and execution of these meetings. Assist in the preparation, execution and follow-up of all meetings Responsible for coordination and assembly of meeting registration materials Responsible for Meeting minutes Maintain Database of membership Using DataEase maintain database of membership - updated monthly. Database all Salary and Statistical information on member institutions Coordinate publication of Annual Salary and Statistical Surveys Desktop publishing Currently running PageMaker 6.0 to design and produce registration and meeting materials. Develop brochures/mailings as assigned. Requirements: B.A., excellent written and verbal skills, experience in office procedures, word processing; desktop publishing; knowledge of, or interest in, arts management; and ability and desire to work in a small collegial environment.
