Dear Colleagues,

Please recommend a quality (museum appropriate/"does not harm") flashlight
or rechargeable hand-held spotlight which can be used by docents while on
tour.  We hope to use these both for accessibility (people with low vision)
as well as on days when the light levels prevents objects and areas from
being seen.  The flashlight/hand held spotlight needs to hold its charge for
up to 60 minutes, the light level (brightness) needs to be adjustable, and
it needs to be lightweight.

I would also appreciate any comment about the use of flashlights and/or
hand-held spotlights by docents on tours of historic sites.

Subject: Storing plexi stands, holders, etc.

Hi Everyone,

We need some advise.  We have many plexi stands, holders, etc. for exhibit
use and they are currently stored in plastic baskets on shelves.  They get
very scratched as they are generally just "tossed" into the baskets when an
exhibit gets taken down.  We need to find a better way to store them.  Does
anyone have any suggestions?  How do you store these items?

  1.. Can someone suggest a current dollar amount being used to budget =
annual cost per square foot for care and maintenance of a museum =
facility (the overall building, not just collections storage)?
  2.. Is the annual cost per square foot for care and preservation of a =
historic structure, like a house, different? If so, what is currently =

My 2 cents.

Be sure they are actually "artifacts", I know that sounds dumb, but bear
with me. Once, I was doing an inventory of  American Indian artifacts in a
collection and could not find a pair of moccasins the computer said we had,
with no description... I got out the accession book and found who had
donated them and when, but nothing for a description there either. I about
pulled my hair out looking for these things, as the museum was small and
mostly archeological items, the moccasins should have stuck out like a sore
thumb.

One afternoon, I had an epiphany. I shared my office space with the
education specialist. I got in his traveling discovery trunk and behold,
there were the moccasins, numbered and all. It did not take me long to
realise looking at them that they were not authentic. but why catalog them?
I found an employee who had been there for ages. she told me that some
people a few years back had started cataloging everything that came thru
the door as artifacts, regardless of origin. They were quickly told to
stop, but several items were never "fixed". The moccasins had been made by
a vendor specifically for the use they now had. they were not gifts, but a
commissioned and paid for prop for the interpretive staff, over 15 years
prior.

We have traveling trunks that docents take to outreach programs for
schools.  Recently I found out that there are actual artifacts in these
trunks.  I am thinking that these should not be the actual artifacts, but
reproduction items or objects taken strictly for education purposes only.
Has anybody else experienced this before, if so how did you handle it with
your education coordinator?

We have traveling trunks that docents take to outreach programs for
schools.  Recently I found out that there are actual artifacts in these
trunks.  I am thinking that these should not be the actual artifacts, but
reproduction items or objects taken strictly for education purposes only.
Has anybody else experienced this before, if so how did you handle it with
your education coordinator?

I believe back in the early days (1920's - 1930s?) we accessioned a
boxed piece of birthday cake.  One of our interns came across the
catalog card while researching a donor. I can say that that cake has
never been found in the collection, so I assume it is safe to say that
the cake was removed (hopefully not eaten!) soon after it was placed in
the collection. =20

I hope that is bizarre enough for you!

My 2 cents.

Be sure they are actually "artifacts", I know that sounds dumb, but bear
with me. Once, I was doing an inventory of  American Indian artifacts in
a collection and could not find a pair of moccasins the computer said we
had, with no description... I got out the accession book and found who
had donated them and when, but nothing for a description there either. I
about pulled my hair out looking for these things, as the museum was
small and mostly archeological items, the moccasins should have stuck
out like a sore thumb.

One afternoon, I had an epiphany. I shared my office space with the
education specialist. I got in his traveling discovery trunk and behold,
there were the moccasins, numbered and all. It did not take me long to
realise looking at them that they were not authentic. but why catalog
them?
I found an employee who had been there for ages. she told me that some
people a few years back had started cataloging everything that came thru
the door as artifacts, regardless of origin. They were quickly told to
stop, but several items were never "fixed". The moccasins had been made
by a vendor specifically for the use they now had. they were not gifts,
but a commissioned and paid for prop for the interpretive staff, over 15
years prior.

Good question. I am currently doing a cyclical maintenance manual for a
client. I have not found good "rule-of-thumb" information. Most
organizations base annual maintenance budgets on past expenses, which have
usually been expended within the context of an organization's deferred
maintenance tradition. NPS Preservation Brief 47, published in June 2007
suggests budgeting 2-4% of the replacement cost for a building for annual
maintenance. For a modern building used for offices or galleries replacement
cost may be easier  to assess, and this formula will work. However, for
historic structures used for offices, galleries, or for historic
interpretation, the replacement cost is difficult or impossible to develop.
They are usually not replaceable. Since historic structures are generally
part of a museum's collection, this is the same problem museums have when
trying to value collections for insurance purposes. Anybody else familiar
with a formula for this?

1.	Can someone suggest a current dollar amount being used to budget
annual cost per square foot for care and maintenance of a museum facility
(the overall building, not just collections storage)?
2.	Is the annual cost per square foot for care and preservation of a
historic structure, like a house, different? If so, what is currently
recommended for that expense?

I believe back in the early days (1920's - 1930s?) we accessioned a
boxed piece of birthday cake.  One of our interns came across the
catalog card while researching a donor. I can say that that cake has
never been found in the collection, so I assume it is safe to say that
the cake was removed (hopefully not eaten!) soon after it was placed in
the collection. =20

My 2 cents.

Be sure they are actually "artifacts", I know that sounds dumb, but bear
with me. Once, I was doing an inventory of  American Indian artifacts in
a collection and could not find a pair of moccasins the computer said we
had, with no description... I got out the accession book and found who
had donated them and when, but nothing for a description there either. I
about pulled my hair out looking for these things, as the museum was
small and mostly archeological items, the moccasins should have stuck
out like a sore thumb.

One afternoon, I had an epiphany. I shared my office space with the
education specialist. I got in his traveling discovery trunk and behold,
there were the moccasins, numbered and all. It did not take me long to
realise looking at them that they were not authentic. but why catalog
them?
I found an employee who had been there for ages. she told me that some
people a few years back had started cataloging everything that came thru
the door as artifacts, regardless of origin. They were quickly told to
stop, but several items were never "fixed". The moccasins had been made
by a vendor specifically for the use they now had. they were not gifts,
but a commissioned and paid for prop for the interpretive staff, over 15
years prior.

We have traveling trunks that docents take to outreach programs for
schools.  Recently I found out that there are actual artifacts in these
trunks.  I am thinking that these should not be the actual artifacts,
but reproduction items or objects taken strictly for education purposes
only.
Has anybody else experienced this before, if so how did you handle it
with your education coordinator?

Well sadly, that was not my strangest accession by a long shot. I once went
to help inventory a collection after a break in and theft. While perusing
their social history records, I found this gem of an entry:

Manure, buffalo
Historic
Found on property

Thinking this had to be a prank go awry, I looked it up on the collections
database. There the object had been weighted, measured, described in minute
detail and carefully photographed from all angles. I went into their vault
and found nested in tissue in an acid free box, a buffalo chip, the dried
prairie grass still stuck to the bottom.

What I found even more amusing was the collection also housed a rare, well
provenanced Ghost Shirt that had come in the collection at about the same
time. It was simply described as a Decorative shirt, Indian. No
measurements, no photographs, nothing more for a description in the
database. Hmmmm....

Kind of like the coffee-making equipment accessioned in the 1980s by well
meaning volunteer collections folks at my last museum...

Sarah's post got me thinking, what are some of the other strange objects
people have found accessioned into their collections?

My 2 cents.

Be sure they are actually "artifacts", I know that sounds dumb, but bear
with me. Once, I was doing an inventory of  American Indian artifacts in a
collection and could not find a pair of moccasins the computer said we had,
with no description... I got out the accession book and found who had
donated them and when, but nothing for a description there either. I about
pulled my hair out looking for these things, as the museum was small and
mostly archeological items, the moccasins should have stuck out like a sore
thumb.

One afternoon, I had an epiphany. I shared my office space with the
education specialist. I got in his traveling discovery trunk and behold,
there were the moccasins, numbered and all. It did not take me long to
realise looking at them that they were not authentic. but why catalog them?
I found an employee who had been there for ages. she told me that some
people a few years back had started cataloging everything that came thru
the door as artifacts, regardless of origin. They were quickly told to
stop, but several items were never "fixed". The moccasins had been made by
a vendor specifically for the use they now had. they were not gifts, but a
commissioned and paid for prop for the interpretive staff, over 15 years
prior.

We have traveling trunks that docents take to outreach programs for
schools.  Recently I found out that there are actual artifacts in these
trunks.  I am thinking that these should not be the actual artifacts, but
reproduction items or objects taken strictly for education purposes only.
Has anybody else experienced this before, if so how did you handle it with
your education coordinator?

The Briscoe Western Art Museum is a new museum that is scheduled to open in
two years on the Riverwalk in San Antonio in an Art Deco building.  We are
currently finalizing plans for the remodeling of the structure, and one
issue that we are addressing is the size of the proposed freight elevator,
which may be too small to be of practical use.  

 

My question for anyone with experience in moving crated paintings and
sculpture artwork:  is there a standard recommended size for a freight
elevator (or, if not, what do you consider to be the minimum size to be
practical)?   Any suggestions would be very helpful!

Leadership is a key ingredient to personal and institutional success, yet c=
ultivating strong and visionary leadership remains one of the greatest chal=
lenges facing the cultural sector. What are the qualities and attributes of=
 successful leaders and successful institutions? How do you assess leadersh=
ip in an institution and define leadership at the individual level?

This five-day session has two parallel themes running through your conversa=
tions and coursework - personal leadership and institutional leadership. Di=
scussions focus on contemporary challenges and issues impacting leadership =
in the cultural sector and explore strategies to cultivate institutional le=
adership and enhance personal leadership. You will have the opportunity to =
explore these issues for your own institution and for yourself. Participati=

er own consulting business, she was deputy director of the Mexican Museum (=
San Francisco), vice president of Museum Management Consultants, chair of t=
he graduate Department of Museum Studies at JFK University, assistant direc=

Arizona.

Anderson has been active professionally throughout her career as a current =
member of The Museum Group, a past board member of the American Association=
 of Museums, a member of the committee that produced Excellence & Equity, a=

 1997, she received the Director's Chair award for distinguished service an=
d leadership from the Western Museums Association. She is the author and ed=

Hi Marianne,

Our elevator is 8'D x 11' 4"W x 8'H. Only twice have we had to deal with
things that did not fit. Both were because of the door design(see below).
Rule of thumb = bigger is better.

My points of advice from dealing with our elevator. 1. Try to make sure your
elevator door(s) opens the entire width of the car, or you end up wasting a
few precious inches because you cannot access the corners fully. 2. Make
sure you have a backup plan/entry point(door), just in case. We can use our
exterior emergency stairwell in a pinch. 3. Make sure that your long term
plan takes changes into account regarding moving people. Our elevator was
partially converted to a people mover in a renovation, and we lost several
inches to the required railings.

Subject: Freight Elevator size for art museum

The Briscoe Western Art Museum is a new museum that is scheduled to open in
two years on the Riverwalk in San Antonio in an Art Deco building.  We are
currently finalizing plans for the remodeling of the structure, and one
issue that we are addressing is the size of the proposed freight elevator,
which may be too small to be of practical use.

My question for anyone with experience in moving crated paintings and
sculpture artwork:  is there a standard recommended size for a freight
elevator (or, if not, what do you consider to be the minimum size to be
practical)?   Any suggestions would be very helpful!

make sure your elevator door(s) opens the entire width of the car, or you

up wasting a few precious inches because you cannot access the corners
fully.
2. Make sure you have a backup plan/entry point(door), just in case. We can
use
our exterior emergency stairwell in a pinch. 3. Make sure that your long
term
plan takes changes into account regarding moving people. Our elevator was
partially
converted to a people mover in a renovation, and we lost several inches to
the
required railings.<o:p></o:p></span></p>

Marianne,

It all depends on the scope of your collections - just think if you had to
move the largest artwork you had into or out of your galleries. It will also
impact what kind of traveling exhibitions you could host. If your collection
is deep in contemporary art then you will undoubtedly need to match that
scale in your planning.

I would suggest surveying other institutions who have collections close to
yours to gain an understanding of not onoy the elevator issue but also the
location of the elevator in relation to other areas. It won't do much good
to install a tall elevator and then have one of the access hallways with a
low ceiling that would restrict what you could convey into a space.

When the Esplanade was being built in 2004-05, our storage consultant =
recommended a 10' by 20' (8' high) elevator, citing it as standard for =
other new museum constructions of our size.  We didn't get that, and knew =
from the get-go we wouldn't, but we did get an 8' X 10' elevator.  Even at =
that, the cost-cutters tried during construction to downgrade that to a 5' =
X 7' car, which definitely would have been too small. =20

We have, so far, been able to accommodate just about anything we've needed =
to in our elevator, although we have some storage equipment for rolled =
textiles coming in a few weeks that might prove interesting....

The Briscoe Western Art Museum is a new museum that is
scheduled to open in two years on the Riverwalk in San Antonio in an Art
Deco
building.  We are currently finalizing plans for the remodeling of the
structure, and one issue that we are addressing is the size of the proposed
freight elevator, which may be too small to be of practical use.  
 
My question for anyone with experience in moving crated paintings
and sculpture artwork:  is there a standard recommended size for a freight
elevator (or, if not, what do you consider to be the minimum size to be
practical)?  
Any suggestions would be very helpful!

So much depends on current and future collection types.  For example, a =
typical Concord coach is roughly 14' x 7' x 8.5'.  So if you have =
horse-drawn vehicles or other large objects, go larger if possible.  =
Remember also that the smallest dimension is critical, and that is often =
the door opening, not the elevator itself.  Of course, some large =
objects can be disassembled to some degree, but that can be damaging to =
the object, and take a lot of effort and staff time.  Another factor to =
consider also is the weight capacity of the elevator.  If you are moving =
locomotives or industrial equipment, 2,000 lbs. just won't cut it!

recommended a 10' by 20' (8' high) elevator, citing it as standard for =
other new museum constructions of our size.  We didn't get that, and =

Even at that, the cost-cutters tried during construction to downgrade =
that to a 5' X 7' car, which definitely would have been too small. =20

  We have, so far, been able to accommodate just about anything we've =

I appreciate the information received from everyone!  The museum is strictly
exhibiting art: the hitch is that, at least in the first years after
construction, we'll  concentrating on temporary exhibitions as we build up
the permanent collection.  It is thus difficult to know at this stage just
how large the largest work in the collection will be or what we may
encounter in terms of loans.  

 

The current proposed elevator has a load capacity of 4500 lbs, and inside
dimensions of 6' x 7' 10" (w/ 7' 4" clg ht, but ceiling can be removed for
taller items.), which I consider too small.   I am checking on the width and
height of the door from your recommendation.  We do have a possibility of
going to a deeper elevator of 9' but it will cut into exhibit and storage
space, or we can build one on the exterior of the building ,which at this
point seems to offer better possibilities for us.

Hello Museum-L'ers

My office needs to either mail (FedEx or USPS) or drive human remains to a location about 2 1/2 hours from us.  We are sensitive to the issues regarding human remains and want to do this the best way possible.  Do any of you have experience using either FedEx or the Post Office for mailing human remains?  Any packing ideas?  One box of bone isn't in the best condition.  Would driving it to the location be the best idea instead of mailing?  Thanks so much for any and all responses.

As a conservator in private practice for some years I cannot begin to tell
you how often I have had to examine damaged objects that were sent by the
commercial carriers - not to mention the potential for them to get lost.

With human remains, and if it is a NAGPRA issue, I would totally recommend
that a staff member drive the remains out and get a receipt signed on the
acceptance of them.

You can pack the bones in soft acid-free tissue and then either carve niches
for them in ethafoam or use cotton twill ties and bumpers down to keep the
more fragile pieces secure. Do not pack them in ziploc bags as you can get
condensation from going from the indoors to the outside enviornment.

If the remains are being repatriated, it may also be a good idea to ask the
tribe about their packing preferences. One group I worked with wanted no
synthetic materials to come into contact with the remains, and wanted all of
the materials (paper table coverings, etc.) that had been used in the
