Position Description and Opening Announcement
Administrative Assistant

Position available immediately

The Association of Youth Museums (AYM) is a professional service organization
serving over 375 members from around the world.  First founded in 1962, AYM
strives to enhance the quality, expand the capacity, and further the vision
of youth museums.  Membership is primarily youth museums, but includes
traditional museums with an interest in family audiences and children.

AYM seeks a part-time Administrative Assistant for twenty hours per week
during business hours.  This is an ideal position for an undergraduate or
graduate student seeking to gain arts administration experience, and AYM is
willing to work around class schedules.  The Administrative Assistant will be
paid $8-10 per hour and will report to the Executive Director.

Specific responsibilities include administrative support for the Executive
Director and assisting the AYM office with the following:
- Coordinating logistics of annual AYM Council Meetings and Conference Calls
- Preparing AYM Council and other mailings
- Maintaining official records and minutes of the Association
- Drafting correspondence
- Scheduling meetings
- Coordinating travel for the AYM office
- Answering phones and fulfilling general public information requests
- Processing publications orders
- Procuring office supplies and coordinating equipment repairs
- Mailing of AYM publications, announcements and conference materials
- Creating and maintaining Association databases
- Maintaining office files, including hard files for each AYM member
- Special projects and new program initiatives as they arise
- Other duties as assigned

Qualifications:
- Minimum educational requirement is two years of undergraduate work
- Strong administrative and organizational skills
- Excellent written and verbal communication skills
- Strong teamwork ethic and previous office experience
- Ability to handle and prioritize a number of tasks simultaneously
- Interest in museums/arts/non-profit preferred
- Knowledge of Microsoft Word for Windows required;  experience with
Quickbooks, Page Maker, and Fox Pro helpful
- Friendly, outgoing, and professional phone manner
