Project Controller
New Asian Project
Full-Time Exempt Position

Anticipated Duration: 4 years. The Asian Art Museum was founded in 1966
with the gift of the personal collection of Avery Brundage to the City of
San Francisco. As the largest museum in the western world devoted
exclusively to the arts and cultures of Asia, the permanent collections
represent over 40 Asian countries spanning 6000 years of Asian history.
Museum activities include research, exhibitions, publications, educational
and outreach programs. The Museum currently occupies a building attached to
the DeYoung Museum in Golden Gate Park. However the Asian Art Museum will
be moving to the former San Francisco Main Library Building in Civic Center
in approximately four years. The New Asian Project involves the preparation
of this architecturally historic building to serve as the new home for the
Asian Art Museum, and for moving the Asian's staff, collection and other
assets to it.

POSITION SUMMARY:

The Project Controller has responsibility for maintaining the accounting
and financial reporting systems for this multi-million dollar project. The
position will manage all financial operations at the Project Office located
at 1390 Market Street, in proximity to the project site. The incumbent will
work closely with the Project Manager and the Chief Financial Officer to
insure the accuracy and integrity of the project's financial systems and
reporting. This hands-on position requires the ability to effectively
communicate complex and complicated concepts of construction project
finance and accounting to people of diverse backgrounds and expertise.

EXAMPLES OF DUTIES:

Establishes and implements general ledger and financial reporting systems
for the New Asian Project; documents systems and approved procedures.

Maintains all financial and other systems for the project including:
purchase orders and encumbrance of funds; payables and disbursements;
project reporting for governing bodies, regulatory agencies and others.

Reconciles on a monthly basis (and upon request): general ledger balance
sheet accounts; bank accounts; encumbrance balances; open purchase orders;
accounts payable; petty cash; travel and other expense accounts; FEMA
accounts/contracts; consultant and contractor payment schedules and status;
required reports from various City and County agencies.

Reviews and reconciles Master List of Change Orders with those maintained
by the General Contractor and Architect.

Prepares account analysis and coordinates audits.

Projects cash flow needs and sources; tracks public/private funds, bond and
FEMA funding; reviews, interprets, monitors and addresses special
requirements of matching funding, donor and gifts.

Insures the issuance of checks in a timely manner and to appropriate
sources; reviews and provides preliminary approval for all payments
request; monitors, identifies and reports on the financial impact of
various activities.

In coordination with the Chief Financial Officer, monitors the status and
investment of funds attributable to the project; monitors and arranges for
the sale and transfer of bonds assigned to the project.
MINIMUM QUALIFICATIONS:

Bachelor's Degree in Accounting, Business Administration, Construction
Finance or a closely related field from an accredited college or
university.

Four (4) years of experience in financial management, including at least
two (2) years of direct experience with construction project accounting and
control; experience with a contractor is desirable.

Extensive knowledge of: construction accounting, project tracking and
control.

Ability to analyze financial problems, evaluate alternative solutions and
adopt effective courses of action to enhance internal management reporting
and control systems.

Ability to work independently as well as collaboratively; establish and
maintain cooperative and effective working relationships with a variety of
representatives of public and private organizations; City and County
representatives; contractors, architects and other construction personnel;
Museum staff and the general public.

Effective verbal and written communication skills; excellent organizational
and interpersonal skills; flexibility and sense of humor.
