Dear Mr Gilheany,

I cannot tell you how many times I see notices for conferences and workshops
that I would like to attend if:
a) I had the time
b) I had the money or
c) all of the above.
Quite recently I inquired about a workshop but could not change my flights
in time to attend. I asked the organization if proceedings or some kind of
printed material would be made available. I understand that for some events
(or institutions), it is not feasible to produce such information for those
who could not attend; However, providing information based on the workshop
seems to me to be an important component of organized events, which should
be fulfilled for many reasons. The extent to which an organization produces
follow-up material is often a matter of time and expense (what else is
new?). At the simplest level transcripts could be produced by volunteers or
interns from taped recordings and then photocopied or emailed. The cost of
this process to the museum could be recovered in a fee for this service.
Also, even if transcripts or other related materials are not made available
to a wider audience, certainly the museum itself should have a complete
record of the event for its archives?

So, I would encourage other institutions to follow UCLA's example. I
certainly would pay for such materials and would think very highly of
museums/institutes/colleges who shared their scholarship and information
with those unable to be there in person. Of course, to attend
workshops/conferences/symposia is far better and more informative to the
individual (not to mention more profitable to the institution) than the
alternative discussed here, BUT when circumstances prevent a keen audience
from being present, does that mean the audience must be prevented from
learning?

CONGRATULATIONS UCLA- I will not be able to attend your document imaging
workshop, but I am very grateful to be able to learn about it via the
website posted.

Many thanks,
L.W.S. Petznick, Ph.D.
