DUTIES:   The incumbent assists with the scheduling of more than 30 SITES exhibitions to hundreds of potential venues across the U.S.  Acquires familiarity with exhibition content, museum policies, and registrarial standards for gallery security in order to communicate accurate information.  Screens telephone inquiries and requests to the Scheduling Department.  Distributes verbal and written information on every SITES exhibition to interest host venues.  Drafts correspondence to request information about book availability, exhibition content, policies and security requirements.  Contacts potential exhibitors to acquire data needed to complete scheduling arrangements. Updates data base of SITES exhibitor records, including keying in mailing list corrections, revisions to facility reports, and notations for booking records.  Assembles, mails, and frequently updates schedules and other inserts for marketing materials.  Prepares and administers staff travel for Scheduling departments, including reviewing travel requests for accuracy and proper format, making transportation and hotel reservations, preparing travel documents.  Perform other duties as assigned.

QUALIFICATIONS:   Applicants must have one year of specialized experience equivalent to the next lower grade level.  Specialized experience is experience in the actual type of work for which the application is made.  Applicants must show evidence of typing proficiency of at least 40 words per minute.  If evidence is not shown, you will not be considered.

Selective Placement Factor:  Subject matter knowledge of arts, humanities, or sciences to carry out communication with potential exhibitors about exhibition content.

Quality Ranking Factors:  (These factors are not mandatory to be considered for a position, but will be used to determine who are the highest qualified candidates among those who meet the selective factors.)

1.      Knowledge of museum terminology and organization.
2.      Skill in utilizing word processing computer programs for correspondence, reports and information management.
3.      Skill in utilizing desktop design systems to create, modify, or output descriptive materials.
4.      Ability to communicate in writing.

NOTE:  RELOCATION EXPENSES WILL NOT BE PAID.
