Hi Maeve,

We track our props in a way similar to what Dan Bartlett described. Our
props and ed collections are lumped together under the term "Use
Collection" and are assigned a number with a "UC" prefix - same as what
Dan described, just with different letters. We do enter these in our
database. (though that wasn't always faithfully done in the past, I am
trying!) I enter them with what I refer to as "skeletal" cataloging
info - just the basics. Usually just an object name, brief description,
storage location, measurements. In the past this group of objects was
sometimes called "exhibit props" and were given an id number with the
prefix "EP" but the concept was the same. I'm also a proponent of
actually marking the objects themselves with their id numbers. This
way, it's 100% clear that they are part of the Use Collection (or prop
collection, ed collection, whatever) and not an artifact that's missing
its accession number. Not that we have any of those.... :)

Subject: Tracking Prop Items

Hello,

I'm with a new museum and will soon be establishing our numbering
systems. In one of our exhibit areas we will have a significant amount
of prop items, so I was wondering how other places tracked these items.
Do you log them in your regular collections database and just use a
different letter to differentiate them from the permanent collection, or
are there other solutions? I'd be grateful for any suggestions.

Thanks!
Maeve
