Laura-
Here at the New York Hall of Science, we've been using the Vista system
since 1995. It works really well for us, keeps tracks of all of our
programs, fees, and availability, plus offers over 200 reports using many
different criteria. It also keeps all information relating to each group
who visits- including contact names, booking history, demographic
information, and the like.
The only drawback we've dealt with is the price- you'll need budget
money for setup fees, then one yearly maintenance fee for the software
(upgrades included) plus technical support (which is pretty great!). Vista
may be cost prohibitive for a smaller Museum, but if group numbers represent
a large portion of your visitors, it's definitely worth making a case for.
If you'd like more specifics, feel free to give me a call at
718.699.0005 extension 385, and take a look at their website, www.2btech.com
.
                                                          Good Luck!

Subject: Tour scheduling software

>We are exploring software to schedule school tours to the musuem. We would
>like to be able to have it handle different kinds of tours on different
>days, track contact info, numbers of people involved, info about students'
>related study units and materials needed. We'd also like to be able to
>create a variety of reports from the information. And we'd like a portion
of
>it to be searchable from our website so teachers could see what tours are
>available on specific dates.

>Is anyone out there using software that does this? What are you using and
>are you happy with it? What are the drawbacks, if any?
