POSITION DESCRIPTION

Administrative Assistant, Indian Arts Research Center
School of American Research

FUNCTION:  Responsible for primary reception and correspondence activities.  Assists IARC Director, Collections Manager and Registrar with all administrative responsibilities at the Indian Arts Research Center.  Position is non-exempt.

CHARACTERISTIC DUTIES:  Answers telephone and front door; greets researchers, tour participants, and other guests.  Provides clerical and administrative assistance for IARC functions and program activities.  Schedules public and group tours, and coordinates with scholarly and Native American use of collections; schedules docents and distributes monthly calendars of activities. Maintains IARC mailing lists and organizes mailings.  Responsible for daily closing procedures when director and collections manager are unavailable; set up of security camera videotapes; petty cash; weekly deposits; tax letters to donors; office systems and kitchen area.  Other duties as assigned by the director.

SUPERVISION: Position reports to the Director of the Indian Arts Research Center.

REQUIRED QUALIFICATIONS:  At least 2 years experience as receptionist with administrative and secretarial abilities.  Experience in working with the general public and diverse cultural groups.  Knowledge of computers, including word processing and database programs.   Excellent typing skills.  

DESIRED QUALIFICATIONS:  Bachelor's degree in art history, anthropology, history or related field; knowledge of Southwest Indian arts and cultures; training in Raiser's Edge; basic sales and accounting experience; experience in a non-profit institution.

PHYSICAL REQUIREMENTS:  Ability to lift up to 40 lbs.; carrying; climbing; hearing; sitting; standing; talking.  Possible exposure to residual chemicals used as pesticides.
