Being a general question, the answer can easily delve
into a lot of the finer points of database development
and quickly get confusing.  Typically, one would
cross-reference tables with unique id numbers.  

An example a negative linked to a photo, linked to a
person.  With tables cross-referenced, a negative can
lead to viewing the photo (year, type of photo, etc.) 
and them accessing the person (bio, statistics), which
then can relate any items unique to that particular
person.

The variables and even startegies are even high, there
may even be the need for items not linked to a
particular person, as with the printed ephemera you
mentioned.

First, step is some sort of decision on what kind of
software you are using.  I am currently outside of the
museum field and have no idea if Past Perfect is
capable of this.  I typically write with Visual Basic
through MS Access, with some SQL scattered throughout.
 And the myriad of options out there can be pretty
overwhelming...
