My background is in photo archives and geologic
archives...
Why do you apparently routinely duplicate newly
received archival collections?  You say,
"a new archeological collection was accessioned
without duplicated records..."  Do you duplicate them
on archival/acid-free buffered paper?
From your question, it doesn't sound like your speaking
about a collection which is water-damaged, etc. which
you might have to copy and then discard the moldy originals, etc.
Inquiring minds are curious....
