Our experience with a similarly comprehensive project at Mystic
Seaport met with limited success.  We used an Intranet enabled
calendar that could be updated simply by clicking on the web page.
We worked to make the system as easy and as painless as possible and
even offered incentives to the people responsible for maintaining
entries.  In the end, people felt that it was easier to do much of
the scheduling the old way rather than having to bring up the web
browser and find the right page.

The successful part of the project was the Calendar of Events.  We
invert the work flow here by requiring people with events to schedule
to enter them directly into a web form.  That data is posted to a
database, checked by a Communications staff member, and then made
available on the web site.  An export from the database then provides
the text for the printed calendars.  This approach had two benefits:
first it made the work of the Communications Department easier by
shifting responsibility for accuracy to the department responsible
for the event, second, it made the calendar data available to the web
without additional work.  The technology here is a Filemaker database
connected to the web server.
